Job Description

Introduction

A Back Office Executive plays a vital role in managing administrative tasks, data management, documentation, and operational support for the company. This role involves handling computer-based work, maintaining records, processing data, and coordinating with different departments to ensure smooth business operations. The ideal candidate should be organized, detail-oriented, and proficient in computer applications with good communication and multitasking skills.

Key Responsibilities

1. Data Entry & Record Maintenance

  • Enter, update, and manage data in MS Excel, company software, or ERP systems.

  • Maintain accurate records of customer details, sales transactions, and employee information.

  • Regularly back up and organize data to avoid loss or mismanagement.

2. Documentation & Reporting

  • Prepare and manage documents like invoices, purchase orders, receipts, and bills.

  • Generate daily, weekly, and monthly reports related to sales, inventory, or operations.

  • File and maintain important company records in both digital and physical formats.

3. Coordination & Communication

  • Collaborate with front office staff, sales teams, and other departments to provide required information.

  • Respond to internal emails and queries promptly.

  • Communicate updates, reports, and instructions between departments for smooth workflow.

4. Customer & Vendor Support

  • Handle customer queries via email, chat, or phone and redirect them to the appropriate department.

  • Coordinate with vendors and suppliers regarding invoices, payments, and deliveries.

  • Assist in managing follow-ups for pending payments and order confirmations.

5. Operational Support

  • Assist in inventory tracking and stock updates for the warehouse or store.

  • Schedule appointments, meetings, and interviews if required.

  • Ensure the back office operations run smoothly without disruptions.

Requirements

Educational Qualifications

  • Minimum 12th Pass / Graduate in any discipline.

  • Diploma or certification in Office Administration / Computer Applications is a plus.

Technical Skills

  • Proficiency in MS Office (Word, Excel, PowerPoint) and basic computer operations.

  • Familiarity with data management software, ERP tools, or CRM systems.

  • Basic knowledge of email handling and online documentation.

Soft Skills

  • Strong communication and interpersonal skills.

  • Good analytical and problem-solving abilities.

  • Attention to detail and high accuracy in data management.

  • Time management and multitasking capabilities.

  • Ability to work independently and as part of a team.
