Back Office Executive
Job Description
Key Responsibilities:
1. Administrative Support:

Provide administrative support to various departments by assisting in preparing reports, presentations, and other documents.

Maintain accurate records and filing systems (physical and electronic) to ensure easy retrieval of data and documents.

Handle incoming and outgoing correspondence, including emails, phone calls, and physical mail.

Assist in scheduling appointments, meetings, and other events for the team or management.

Ensure the timely completion of administrative tasks as per the requirements of different departments.
2. Data Entry and Management:

Input data into internal systems and databases accurately and efficiently.

Regularly update and maintain databases and spreadsheets, ensuring that all records are accurate and up to date.

Generate and review reports related to operational activities, sales, or inventory.

Cross-check and verify data to ensure consistency and accuracy.
3. Document Preparation and Management:

Assist in preparing invoices, purchase orders, delivery orders, and other business-related documents.

Ensure all documents are accurately filled out and comply with company policies and standards.

Maintain confidentiality and handle sensitive information with discretion and care.

Ensure that all required documentation for business operations is available and organized.
4. Customer Service Support:

Handle customer inquiries and complaints via email, phone, or internal communication channels.

Forward complex customer issues to the appropriate departments and ensure timely resolution.

Maintain a record of customer interactions and feedback for reference and follow-up.

Ensure customers receive the necessary assistance and updates regarding their orders or services.
5. Inventory and Supply Management:

Monitor inventory levels and order office supplies to ensure that all necessary resources are available.

Assist with tracking and reconciling stock to prevent shortages or overstocking.

Coordinate with suppliers to ensure timely delivery of materials and services.
6. Coordination and Liaison:
-
Liaise between different departments to facilitate smooth operations and ensure timely communication of tasks and deadlines.

Coordinate with the front office staff to resolve issues that may arise in the daily operations.

Collaborate with management to improve back-office procedures and workflows.
7. Reporting and Analysis:

Assist in compiling data for regular business reports and performance analysis.

Analyze operational data to identify inefficiencies and suggest improvements.

Track the progress of key projects and report on their status to relevant stakeholders.
