Job Overview
We are looking for a Back Office Executive to handle patient communication, follow-up calls, appointment scheduling, telecalling, marketing, staff attendance, and office administration. The role involves coordinating with patients, arranging home visits, supporting the director with secretarial tasks, and ensuring smooth day-to-day office operations.
The ideal candidate should have excellent communication skills, multitasking ability, organizational competence, and a strong sense of responsibility. This is a full-time, office-based position designed for candidates who can work independently and support the company’s growth objectives.
Key Responsibilities
1. Patient Communication & Follow-ups

Handle incoming and outgoing calls with patients, attendants, and family members.

Answer patient queries regarding services, schedules, and home visits.

Make follow-up calls to ensure patient satisfaction and continued engagement.

Maintain a friendly, empathetic, and professional tone while interacting with patients.

Assist in arranging home visits based on patient requirements and availability of healthcare staff.
2. Telecalling & Marketing Support

Call potential patients using company-provided patient databases.

Promote company services and explain healthcare packages to generate business.

Convert leads into appointments and maintain detailed call logs.

Follow up with potential leads until they confirm appointments or home care services.

Support marketing campaigns by sharing information about special offers or new healthcare programs.
3. Scheduling & Coordination

Coordinate home visit schedules between patients and healthcare professionals.

Manage doctor and nurse availability to ensure smooth service delivery.

Prepare and update patient schedules daily to avoid overlaps and missed appointments.

Work closely with the operations team to ensure timely allocation of resources.
4. Attendance & Staff Monitoring

Maintain attendance records for all on-duty and off-duty staff members.

Ensure accurate tracking of leave applications, late arrivals, and absences.

Share daily, weekly, and monthly attendance reports with management.

Monitor colleague activities to ensure productivity and adherence to company policies.
5. Office Administration & Secretarial Support

Take complete charge of office operations to ensure smooth functioning.

Act as a secretary to the director by assisting in managing schedules, arranging meetings, and coordinating with external stakeholders.

Prepare agendas, take meeting notes, and circulate minutes when required.

Maintain confidentiality of sensitive patient data and company records.

Handle official correspondence via email, letters, and notices.
6. Documentation & Reporting

Maintain patient records, follow-up logs, and appointment registers.

Prepare reports on patient visits, telecalling conversions, and lead generation.

Keep management updated with daily, weekly, and monthly operational summaries.

Assist the finance team with basic billing, invoicing, and collection follow-ups if required.
7. Team Support & Supervision

Act as a support system for the healthcare team by coordinating between patients and staff.

Guide junior staff members regarding workflow and patient-handling procedures.

Report any performance issues, delays, or operational gaps to the management.
Required Skills and Competencies
Technical Skills

Computer Proficiency: Knowledge of MS Office (Word, Excel, PowerPoint) for data entry and report preparation.

Telecalling Tools: Comfortable using CRM systems or hospital management software.

Documentation Skills: Ability to maintain accurate patient and office records.
