Job Overview
We are looking for a detail-oriented and organized Back Office Executive with a focus on data entry and motor insurance processing to join our team. The ideal candidate will be responsible for accurate and timely data input into the SAIBA platform, quotation generation in Excel, policy issuance through insurer portals, and effective customer coordination. This is a key administrative role that ensures smooth back-end operations, enabling the sales and customer service teams to deliver a seamless insurance experience.
This position demands strong accuracy, attention to detail, time management skills, and a basic understanding of the motor insurance process. Previous experience in general insurance operations—especially motor policy processing—will be considered a strong advantage.

Key Responsibilities
1. Data Entry into SAIBA System

Accurately input customer and vehicle details into the SAIBA insurance software as per company protocol.

Maintain updated records for new quotations, renewals, and policy issuance.

Ensure data is entered promptly, completely, and without errors to support quick processing of customer requests.

Perform regular data checks to ensure consistency and correct any discrepancies.
2. Motor Quotation Generation (Excel)

Generate motor insurance quotations using Excel-based templates or calculators provided by the company or insurers.

Compare premium rates across insurers and assist the team with quote selection.

Ensure accuracy in values such as IDV (Insured Declared Value), premium components, discounts, and taxes.

Maintain records of all quotes prepared and shared with customers for future reference.
3. Insurer Portal Operations

Log in to various insurer portals for motor policy issuance.

Upload necessary documents, vehicle information, and customer details for new policy generation or renewals.

Handle endorsements, corrections, and cancellations as per customer or underwriter instructions.

Ensure all policies issued online are downloaded, saved, and recorded appropriately.
4. Motor Policy Issuance & Documentation

Issue motor insurance policies internally or via insurer portals as required.

Verify that all mandatory documents (RC copy, KYC, previous policy, etc.) are complete before issuance.

Email final issued policies to customers with clear instructions and follow-ups.

Maintain digital and hard copies of all issued policies as per company guidelines.
5. Customer Coordination & Follow-up

Communicate with customers to collect missing documents, verify details, and clarify policy requirements.

Follow up with clients for pending renewals, policy endorsements, or corrections.

Handle basic customer queries regarding premium breakdown, IDV, NCB (No Claim Bonus), or insurer selection.

Coordinate with internal sales and support teams to ensure timely delivery of policies and information.
6. Record Management & Reporting

Maintain logs of all transactions, quotations, and issued policies on Excel or internal systems.

Prepare daily/weekly reports for team leads on tasks completed, pending items, and policy status updates.

Ensure compliance with internal checklists and audit requirements.

Archive records securely and ensure they are easily retrievable for audits or customer service requests.
