Job Description
Job Summary:
We are looking for a detail-oriented and organized Back Office Executive to support our company’s day-to-day operations. This role involves handling data entry, documentation, record maintenance, report generation, and coordination with internal departments. The ideal candidate should have good computer skills, the ability to manage multiple tasks, and maintain a high level of accuracy and confidentiality.
You will be playing a key role behind the scenes to ensure smooth office functioning and efficient business support.
Key Responsibilities:
1. Data Management & Entry

Enter, update, and verify data in databases, spreadsheets, and company systems.

Maintain accurate and up-to-date records for all transactions or processes.

Ensure timely data reporting to management or relevant departments.
2. Documentation & Record Keeping

Handle physical and digital documentation for operations, HR, finance, or client servicing teams.

Prepare, sort, and manage files such as invoices, purchase orders, bills, and client documents.

Ensure all records are securely stored and easily retrievable when needed.
3. Administrative Support

Assist front-office or client-facing teams by providing internal support and back-end coordination.

Manage internal communication with departments like accounts, HR, sales, or operations.

Prepare standard reports (daily/weekly/monthly) for business tracking.
4. Email & Communication Handling

Draft and respond to internal emails regarding updates, queries, and follow-ups.

Share reports or documents with relevant team members or external vendors when needed.

Coordinate with clients or partners only if assigned by the supervisor.
5. Other Operational Activities

Monitor inventory, office supplies, or other logistic requirements.

Provide support during audits or compliance checks by preparing relevant documentation.

Assist in maintaining attendance, leave records, or employee-related forms if assigned to HR support.
