Job Description

Job Summary:

A Back Office Executive is responsible for providing administrative and operational support to front-end staff and ensuring smooth and efficient internal workflows. This role involves handling documentation, data entry, record management, report generation, coordination between departments, and other support tasks that keep the business running effectively behind the scenes.

The ideal candidate is detail-oriented, organized, and capable of multitasking in a fast-paced environment. While not customer-facing, the back office executive plays a critical role in supporting business operations, ensuring accuracy, compliance, and timely execution of tasks.

Key Responsibilities:

1. Data Entry and Management

  • Enter, update, and maintain accurate data in the company's internal databases and systems.

  • Verify data accuracy and resolve any discrepancies.

  • Maintain organized records of all transactions, documentation, and reports.

  • Generate periodic reports for management and ensure timely data submissions.

2. Documentation and Record Keeping

  • Prepare and process various documents such as invoices, purchase orders, receipts, and internal memos.

  • Maintain physical and digital filing systems for easy retrieval and compliance with company policies.

  • Ensure confidentiality and security of all records and sensitive information.

  • Support the finance, HR, or sales teams with documentation as needed.

3. Coordination and Communication

  • Coordinate with front office teams, sales staff, and other departments to relay necessary information.

  • Respond to internal inquiries and provide support in a timely and professional manner.

  • Assist in the preparation of meetings, presentations, and reports for internal use.

  • Act as a liaison between departments to ensure efficient workflow and communication.

4. Administrative Support

  • Perform routine administrative tasks such as scheduling appointments, booking meetings, and maintaining calendars.

  • Assist in inventory control by managing stock records and coordinating with procurement teams.

  • Support onboarding procedures for new employees by preparing necessary documentation and access credentials.

  • Help manage company records related to attendance, leave, and internal compliance.

5. Reporting and Analysis

  • Assist in the preparation of weekly, monthly, and quarterly reports on operations and department metrics.

  • Help identify trends and discrepancies through data analysis and flag issues to the appropriate teams.

  • Compile data for audits, reviews, or performance evaluations as requested by management.

6. System and Software Management

  • Operate and manage standard office software and tools such as Microsoft Excel, Word, PowerPoint, and email clients.

  • Use internal enterprise resource planning (ERP) or customer relationship management (CRM) systems for recordkeeping and tracking.

  • Learn and adapt to new digital tools or platforms as introduced by the company.
