Position Overview

The Back Office Executive will support the day-to-day operations of the pharmaceutical and chemical business from the company’s office in Navrangpura, Ahmedabad. This role involves handling documentation, data management, coordination between departments, and assisting in administrative tasks to ensure smooth business operations. The position is ideal for a fresher female graduate or postgraduate in Chemistry, Pharmacy, or Microbiology who is eager to gain exposure to the industry.

The role requires good computer literacy, internet skills, and the ability to handle office-related tasks efficiently. Although this is a non-customer-facing position, the Back Office Executive plays a vital role in keeping internal processes organized and supporting the operational backbone of the company.

Key Responsibilities

1. Data Entry and Record Maintenance

  • Enter, update, and maintain company records related to sales, purchases, production, and client details.

  • Maintain accurate databases for products, suppliers, and customers.

  • Keep digital and physical files organized for easy retrieval.

2. Documentation and Reporting

  • Prepare and process invoices, purchase orders, and delivery notes.

  • Assist in the preparation of reports for management, including stock levels, sales summaries, and operational updates.

  • Handle confidential documents with care, ensuring compliance with company policies.

3. Coordination with Teams

  • Communicate with sales, procurement, and logistics teams to ensure timely completion of tasks.

  • Coordinate with laboratory or production staff to collect relevant operational data.

  • Liaise with suppliers and vendors for order updates and delivery schedules when needed.

4. Internet Research and Communication

  • Conduct online research to gather product specifications, supplier details, and industry updates.

  • Respond to business-related emails and maintain professional correspondence.

  • Update the company’s internal databases with new information from online sources.

5. Office Administration Support

  • Maintain office supplies and inventory records.

  • Assist in scheduling meetings, preparing agendas, and keeping meeting notes.

  • Support HR in basic tasks like attendance tracking and employee records.
