Job Description
· Maintain and update records, files, and databases.
· Assist with data entry, reports, and basic documentation.
· Support daily administrative and operational tasks.
· Handle emails, calls, and internal communication.
· Coordinate with other departments for smooth workflow.
· Check and verify data accuracy.
· Learn company processes and improve work efficiency.
Key Responsibilities:
1. Data Entry and Maintenance

Accurately enter daily operational data into Excel or the internal system.

Maintain daily work logs, client details, stock reports, and other business data sheets.

Update spreadsheets regularly and ensure data accuracy and consistency.
2. Daily Worksheet Management
-
Maintain and update the day-to-day work tracking sheet as per team and department requirements.

Support in compiling reports on deliveries, sales, orders, or dispatches as needed.

Track pending tasks, flag delays, and share daily progress reports with supervisors.
3. Parcel Tracking and Coordination
-
Track dispatched parcels using courier or logistics partner websites.

Record parcel movement status and update internal databases accordingly.

Coordinate with courier agencies and provide updates to internal teams and customers when required.
4. Documentation and Filing

Organize and maintain soft and hard copies of invoices, bills, receipts, delivery challans, and internal memos.

Assist with document scanning, printing, and file preparation for audits or internal reviews.
5. Basic Customer Communication

Respond to customer queries through phone or email (basic level).

Share parcel tracking status or order updates when requested by clients.

Maintain a polite and professional tone in all communication.
6. Office Coordination

Provide administrative support to senior staff and other departments as needed.

Coordinate internally for task completion, data collection, or document submissions.

Assist in scheduling appointments, meetings, or courier pickups if required.
7. Learning & Improvement

Participate in on-the-job training to understand all processes and tools used in the back office.

Learn internal software, communication protocols, and office documentation practices.

Accept feedback and apply corrections or improvements as guided.
