Key Responsibilities
1. Documentation & Record Management

Prepare, manage, and store documents such as reports, invoices, bills, purchase orders, and internal forms.

Ensure all documentation is correctly filed, labeled, and stored securely in physical and/or digital formats.

Review incoming paperwork for completeness and accuracy.

Maintain and update databases, spreadsheets, and logs related to operations, inventory, employee records, or transactions.
2. Data Entry & Processing
-
Accurately input data into company systems (ERP, CRM, Excel, etc.) as per standard procedures.

Verify and cross-check data to ensure consistency and integrity across systems.

Generate reports and summaries from raw data for review by management or relevant departments.

Perform regular data backups and audits to ensure data security and reliability.
3. Administrative Coordination
-
Coordinate with different departments (sales, HR, finance, logistics) to facilitate smooth workflow and task execution.

Follow up on internal documentation such as leave forms, work orders, and approvals.

Manage schedules, appointments, internal communications, and meetings as directed by the supervisor.

Handle internal correspondence, emails, and memos related to operations.
4. Inventory and Logistics Support

Maintain records of incoming and outgoing materials, stock levels, and supply orders.

Assist the logistics team in managing shipping documentation, courier records, and vendor coordination.

Track shipments, maintain dispatch logs, and coordinate with warehousing staff for inventory updates.
5. Financial & Compliance Support

Assist the accounts team with data entry related to billing, petty cash, and expense reports.

Ensure that all processes comply with internal policies and regulatory standards.

Support audits by organizing and submitting required documentation.
