Job Description
Key Responsibilities:
1. Sales Order Management:

Process customer purchase orders accurately and efficiently.

Ensure that all sales orders are entered into the system correctly and that order acknowledgements are sent promptly to customers.

Monitor the order cycle to ensure timely dispatch and delivery of goods or services.

Coordinate with the logistics and warehouse teams to track deliveries and resolve any issues related to order fulfillment.
2. Customer Relationship Management (CRM):

Maintain and update the customer database with current contact details, transaction history, and communications.

Manage customer queries and coordinate with the relevant departments to provide prompt resolutions.

Follow up with clients for order confirmations, payments, and feedback after delivery.

Assist in managing customer accounts, including pricing, credit limits, and account history.
3. Sales Support:

Assist the sales team in preparing quotations, proposals, and tender documents.

Generate and share regular sales performance reports, product movement summaries, and market feedback with the sales manager.

Provide back-end support for marketing campaigns and promotions.

Coordinate with the finance department for invoice processing, payment follow-ups, and reconciliations.
4. Reporting and Data Management:

Generate daily, weekly, and monthly reports on sales performance, revenue targets, and customer interactions.

Analyze sales data to identify trends, sales opportunities, and areas for improvement.

Maintain accurate records of customer transactions, product inventory levels, and pricing structures.

Support management in preparing presentations and business reviews based on collected data.
5. Coordination and Communication:

Act as a communication link between sales representatives, customers, logistics, finance, and other internal departments.

Handle incoming calls, emails, and messages related to sales inquiries and redirect to appropriate personnel when necessary.

Track and share product availability, lead times, and price changes with customers and internal stakeholders.

Schedule internal meetings, sales reviews, and client appointments when required.
6. Product Knowledge and Updates:

Maintain a strong understanding of company products and services to support the sales process.

Stay updated on product launches, changes in specifications, pricing adjustments, and promotional offers.

Share product updates with relevant team members and customers as needed.
7. Document and File Management:

Organize and maintain digital and physical files related to sales contracts, orders, quotations, invoices, and correspondence.

Ensure compliance with internal documentation standards and policies.

Assist in audits and data verification processes by providing requested documents and records.
