Job Description
Key Responsibilities:

Administrative Support:

Provide administrative support to different departments (e.g., finance, programs, HR).

Handle incoming and outgoing communications, including emails, letters, and phone calls.

Maintain and update databases, records, and files to ensure accuracy and confidentiality.

Assist in preparing reports, presentations, and documents for meetings and conferences.

Data Entry and Documentation:

Input data related to donor contributions, project updates, and financial transactions.

Ensure proper filing and documentation of sensitive information in accordance with organizational policies.

Generate reports on activities, fundraising, and project progress for internal use and external stakeholders.

Financial Administration:

Assist in processing invoices, receipts, and other financial transactions.

Monitor petty cash and assist in maintaining financial records.

Help in budgeting, expense tracking, and reporting financial updates to senior management.

Procurement and Inventory Management:

Assist in the procurement of materials, office supplies, and other resources required for the NGO’s activities.

Maintain inventory records and ensure the timely replenishment of office supplies.
-
Work with vendors to obtain quotes and process orders, ensuring timely delivery of goods and services.

Event and Program Coordination:

Assist in coordinating events, workshops, and outreach programs.

Help with logistical arrangements, including venue bookings, transportation, and catering.

Support in preparing event materials and communications.

Human Resources Support:

Assist with the recruitment process, including posting job advertisements, scheduling interviews, and handling initial candidate communications.

Help manage employee records, including leave management and benefits documentation.

Assist with employee onboarding and orientation.

Communication and Liaison:

Act as a point of contact for internal staff, volunteers, and external stakeholders.

Assist in drafting newsletters, reports, and promotional materials for social media and print.

Maintain effective communication with partners, donors, and volunteers to ensure smooth collaboration.

General Office Support:

Ensure the office environment is organized, clean, and conducive to productivity.

Handle day-to-day office operations, such as managing phone lines, scheduling meetings, and coordinating appointments.
