Job Description
Job description-Replying to emails, updating Tracker(Excel sheet), follow-up from customers, communicating with engineers, keeping record and filling, sending service reports
Key Responsibilities
1. Communication & Coordination
-
Act as a point of contact between customers and engineers for service updates and queries.

Follow up with customers regarding service requirements, schedules, and feedback.

Coordinate with engineers to ensure timely service delivery and proper issue resolution.

Maintain professional and courteous communication at all times.
2. Record Keeping & Documentation
-
Maintain accurate service records and logs for customer interactions and engineer activities.
-
File documents in an organized manner for easy retrieval.

Update customer details, service history, and other relevant information in company systems.
3. Email Management
-
Reply to incoming customer and internal emails promptly and professionally.

Forward important emails to relevant departments or personnel for action.

Draft and send service-related communication as required.
4. Tracker & Data Management
-
Maintain and update Excel trackers to monitor service requests, progress, and completion status.

Prepare daily, weekly, or monthly reports for management.

Ensure all data entries are accurate, consistent, and up to date.
5. Service Reports & Follow-up
-
Collect, compile, and send service reports to customers or management as per requirement.

Follow up with engineers to confirm service completion and obtain necessary documentation.

Contact customers after service to ensure satisfaction and note any further requirements.
6. Administrative Support

Assist in scheduling service calls and assigning engineers based on workload and location.

Keep track of pending tasks and escalate issues when necessary.

Support other back-office functions as needed.
Skills & Competencies Required
Technical Skills
-
Proficiency in MS Office (especially Excel, Word, and Outlook).

Basic knowledge of data entry and document management.

Ability to use tracking sheets and reporting formats accurately.
Communication Skills
-
Clear and professional verbal and written communication in English (knowledge of local languages is an advantage).

Good telephone etiquette and email drafting skills.
