Job Summary:
We are seeking a reliable and detail-oriented Back Office Staff member to support our day-to-day operations. The ideal candidate will handle administrative tasks, manage data entries, assist with documentation, coordinate with front-end teams, and ensure smooth internal office functioning.
The role is critical for maintaining organizational efficiency and supporting other departments such as sales, accounts, and customer service. This position is ideal for someone who prefers a structured and process-driven work environment.
Key Responsibilities:
1. Data Entry and Record Keeping:

Enter and update customer details, product data, invoices, and internal records in software systems (e.g., Excel, Tally, CRM, ERP).

Maintain physical and digital filing systems for easy retrieval of documents.

Ensure accuracy in data input and regularly audit records for errors.
2. Document Management:

Prepare, verify, and organize internal reports, purchase orders, delivery challans, and bills.

Handle printing, scanning, and photocopying of important documents.

Assist in preparing official letters, quotations, and agreements as instructed.
3. Coordination with Departments:

Coordinate with the sales, accounts, inventory, and customer service teams to process orders, resolve issues, and track status updates.

Support front office or customer-facing staff with backend support and documentation.

Ensure internal communication is smooth and professional.
4. Inventory and Order Support:

Assist in updating stock records and order dispatch logs.

Track pending orders and follow up for stock availability and delivery timelines.

Help with packing or dispatch documentation when required.
5. Administrative Support:

Manage office supplies and maintain stock of stationery and consumables.

Assist with scheduling meetings, sending email updates, and calendar coordination.

Provide support during internal audits or inspections.
6. Reporting and Monitoring:

Prepare daily, weekly, and monthly reports as per manager’s request.

Track workflow, raise concerns, and escalate delays or discrepancies.

Maintain confidentiality and professionalism in handling sensitive company data.
