Job Description
Job Summary:
We are looking for a Business Development Executive with a strong focus on internal coordination, daily task management, and communication support. This role is ideal for an organized, detail-oriented individual who enjoys managing operational support for the business development and leadership teams.
The selected candidate will be responsible for scheduling meetings, maintaining chart sheets, updating whiteboards or dashboards, coordinating internal communication, and assisting the leadership in day-to-day execution of tasks related to sales, business leads, and partnerships. This is not a direct sales role but a strategic support position that ensures the smooth functioning of the Business Development unit.
Key Responsibilities:
1. Internal Coordination & Task Management:

Assist the Business Development Manager in organizing and prioritizing daily and weekly tasks.

Update and track progress on Excel sheets, whiteboards, Trello boards, or CRM dashboards.

Maintain internal task checklists, schedules, and work allocation documents.

Ensure follow-ups are conducted on pending internal deliverables.
2. Calendar Management & Scheduling:

Manage appointments and daily/weekly meeting calendars for managers or department heads.

Schedule and confirm internal and external meetings via phone, email, or calendar invites.

Organize video calls, presentations, and follow-up sessions on platforms like Zoom, Google Meet, or Teams.
3. Communication Support:

Draft internal emails, reminders, meeting agendas, and minutes of meetings (MoM).

Share daily task updates and summary reports with teams.

Coordinate with cross-functional departments like marketing, HR, or operations for project alignment.

Act as a single point of contact for internal team queries related to BD tasks.
4. Documentation and Chart Sheet Updates:

Regularly update Excel-based chart sheets, performance trackers, or pipeline reports.

Maintain client contact lists, status trackers, and deal progress reports.

Ensure accurate documentation of leads, meetings, and follow-ups.
5. Meeting Preparation & Follow-ups:

Prepare necessary materials before meetings – including documents, agendas, briefs, and presentations.

Record key discussion points, decisions, and action items during meetings.

Ensure timely execution of tasks discussed in meetings and track their status.
6. Sales Support (Basic):

Help prepare sales proposals, client decks, and presentations in coordination with the sales team.

Maintain templates and records for repeat communication or outreach tasks.

Occasionally interact with clients or leads for meeting confirmations or information gathering.
