Wanted female clerk cum Office assistant for a leading & Reputed machinery dealer 

Key Responsibilities

  • Administrative Support:
    Provide general administrative support to the office team, including answering phone calls, managing emails, scheduling appointments, and maintaining calendars for office staff and management. Ensure the office runs efficiently by handling various administrative tasks.

  • Document Handling:
    Assist with filing, sorting, and organizing physical and digital documents, ensuring they are easily accessible. Prepare, proofread, and print documents such as letters, reports, memos, and presentations, ensuring all documents are accurate and well-organized.

  • Data Entry:
    Perform data entry tasks by inputting information into databases, spreadsheets, and customer management systems. Ensure that all information is entered accurately and updated regularly. Maintain records of inventory, office supplies, and other materials.

  • Customer and Visitor Interaction:
    Greet visitors and clients in a professional and friendly manner, offering assistance as needed. Answer phone calls and emails, providing information and directing queries to the appropriate departments or team members. Respond to customer inquiries or requests in a timely and polite manner.

  • Office Supply Management:
    Keep track of office supplies, order new supplies when necessary, and ensure that the office is stocked with essential materials. Maintain a well-organized inventory of office supplies, ensuring the office runs smoothly without shortages.

  • Scheduling and Coordination:
    Assist in the scheduling and coordination of meetings, appointments, and events. Arrange travel bookings, transportation, and accommodations for staff members, if required. Ensure all necessary arrangements are made and communicated effectively.

  • Mail Handling and Distribution:
    Receive, sort, and distribute incoming mail and packages to the appropriate departments. Prepare outgoing mail and packages for delivery, including organizing documents for courier services. Ensure that all mail is handled promptly and securely.

  • Filing and Record Maintenance:
    Organize and maintain both physical and digital filing systems. Ensure that all documents are filed correctly and kept in a manner that allows for easy retrieval when needed. Maintain confidential and sensitive information according to company policies.

  • Financial Record Keeping (if applicable):
    Assist with basic accounting tasks, including processing invoices, maintaining petty cash records, and preparing financial documents as required. Support the finance team with administrative tasks related to budgeting and accounting.

  • Office Cleanliness and Organization:
    Ensure that the office space is clean and well-organized, including managing filing cabinets, office equipment, and workstations. Report any maintenance or repair issues to the appropriate personnel. Keep the office tidy, ensuring a conducive work environment.

  • Assist in Special Projects:
    Provide assistance with special office projects, including research, event coordination, and document preparation. Work with colleagues and management to support various tasks as needed.

  • Handling Confidential Information:
    Safeguard sensitive and confidential information, ensuring it is handled securely. Adhere to company privacy policies when dealing with confidential documents or communication.

  • Assisting with HR and Payroll (if required):
    Assist the HR department with employee records, attendance tracking, and the preparation of payroll-related documents. Provide support in managing staff leave records and other HR administrative tasks.
