Job Description
Job Title: Clinic Manager / Administrator
Location: Saibaba colony, Coimbatore
full time- Monday to Saturday (Sunday holiday)
Timings- 10.30 AM to 7.30 PM
Experience: 2+ years in clinical/admin management
Job Responsibilities:
Oversee day-to-day clinic operations
Staff coordination & leave management
Maintain expense records, petty cash, inventory
Follow up on leads, appointments, and patient feedback
Ensure smooth workflow & excellent patient experience
Skills Required:
Strong communication & people management
Familiar with Google Sheets, Excel, Billing software
Organized, proactive & responsible
Salary: ₹15,000 – ₹22,000 (depending on experience)

Key Responsibilities:
1. Clinic Operations Management

Oversee the day-to-day functioning of the clinic including front office, clinical support staff, inventory, billing, and housekeeping.

Ensure the clinic opens and closes on time, and staff are present as scheduled.

Monitor cleanliness, hygiene, and general upkeep of the clinic premises as per medical and safety standards.

Coordinate maintenance of equipment, utilities, and IT systems to ensure minimal downtime.

Supervise and coordinate schedules of doctors, nurses, receptionists, lab technicians, and support staff.

Assist in recruitment, onboarding, and training of new employees.

Maintain duty rosters, leave tracking, performance reviews, and conduct team meetings.

Motivate and counsel staff to maintain discipline, productivity, and a patient-first attitude.

Ensure all patients are attended to promptly and courteously from registration to billing and discharge.

Resolve patient queries, feedback, complaints, or escalations in a timely and professional manner.

Monitor appointment schedules, waiting times, and ensure minimal delays in services.

Manage follow-up communication and coordination for consultations, tests, or wellness programs.

Supervise patient billing, payment collection, and reconciliation with accounts.

Monitor daily cash collections, UPI/card settlements, and deposit records.

Maintain petty cash and ensure timely submission of expense vouchers.

Assist with monthly revenue reporting, inventory cost analysis, and budget forecasting.

Track inventory levels of medicines, consumables, and medical equipment.

Coordinate with suppliers for timely ordering and delivery of stocks.

Ensure stock is stored properly, expired or damaged items are removed, and inventory audits are conducted regularly.

Ensure clinic complies with local municipal, fire, health department, and biomedical waste regulations.

Maintain updated documentation for medical registrations, clinical licenses, GST, insurance, and safety protocols.

Support medical audits and inspections by relevant authorities.

Collaborate with the marketing team to plan promotional campaigns, health camps, and patient education programs.

Build local partnerships with schools, corporates, housing societies for clinic outreach.

Track marketing performance, inquiries, and new patient registrations.

Oversee usage of Clinic Management Software (CMS) or Hospital Information System (HIS) for data entry, scheduling, billing, and EMR (Electronic Medical Records).

Ensure patient records, diagnostic reports, and prescriptions are stored securely and confidentially.

Train staff on using digital tools effectively for smooth operations.
