Job Overview

A Clinic Receptionist serves as the first point of contact for patients and visitors at a healthcare facility. This role involves managing appointments, handling patient inquiries, coordinating with medical staff, maintaining records, and ensuring smooth front-office operations.

The receptionist plays a crucial role in creating a positive patient experience, maintaining confidentiality, and supporting the administrative functions of the clinic. Strong communication, organization, and multitasking skills are essential for success in this role.

Key Responsibilities

1. Patient Reception & Communication

  • Greet patients and visitors warmly and professionally.

  • Answer phone calls, emails, and inquiries promptly.

  • Provide accurate information about clinic services, doctors’ availability, and consultation timings.

  • Handle patient concerns or direct them to the relevant department.

2. Appointment Scheduling

  • Manage appointment bookings for doctors, tests, and consultations.

  • Maintain and update the appointment calendar to avoid conflicts and ensure smooth patient flow.

  • Send reminders to patients via phone, SMS, or email.

  • Reschedule appointments when required and communicate changes efficiently.

3. Patient Registration & Records Management

  • Register new patients and update existing patient information in the system.

  • Maintain accurate medical records, insurance details, and billing information.

  • Ensure compliance with HIPAA or local patient confidentiality regulations.

  • Assist doctors and medical staff with retrieving records for consultations.

4. Billing & Payments

  • Handle billing processes, including consultation fees, laboratory charges, and other services.

  • Issue receipts, invoices, and payment confirmations.

  • Manage cash and card transactions with accuracy.

  • Coordinate with insurance providers for claims and reimbursements when applicable.

5. Administrative Support

  • Maintain a tidy and organized reception area.

  • Manage office supplies, inventory, and equipment used at the front desk.

  • Coordinate with medical and administrative staff for daily operations.

  • Support in preparing reports related to patient visits, appointments, and revenue.

6. Communication & Coordination

  • Serve as a liaison between patients and doctors, nurses, and laboratory staff.

  • Communicate important updates or announcements to patients.

  • Assist in internal communication for clinic events, campaigns, or health drives.

7. Customer Service & Patient Experience

  • Ensure high levels of patient satisfaction by addressing concerns promptly.

  • Offer guidance and support to patients regarding clinic procedures, test preparations, and follow-up care.

  • Handle complaints calmly and escalate serious issues to the clinic manager.

  • Proficiency in computer applications, including MS Office and clinic management software.

  • Basic knowledge of medical terminology and healthcare procedures.

  • Ability to handle billing systems, appointment scheduling software, and email communication.
