Key Responsibilities
1. Front Office Management

Greet students, clients, and visitors professionally and make them feel welcome.

Attend phone calls and respond to inquiries politely and efficiently.

Maintain a visitor record and ensure proper check-in and check-out procedures.

Manage reception duties, including booking appointments, scheduling meetings, and coordinating events.

Ensure the front desk area is clean, organized, and presentable at all times.
2. Computer Operations & Data Management
-
Use computer systems effectively to manage records, reports, and documentation.
-
Maintain and update student/client databases with accuracy and confidentiality.
-
Generate reports, invoices, and receipts as required.
-
Handle data entry tasks related to admissions, registrations, billing, and correspondence.
-
Perform regular backups of data and ensure the security of information.
3. Administrative Support
-
Assist in preparing letters, circulars, presentations, and documents.
-
Coordinate with internal departments for smooth workflow and information exchange.
-
Support the HR, accounts, and academic teams when required.
-
Keep track of office supplies and raise requests for procurement when needed.
4. Client & Student Handling
-
Address inquiries from students, parents, and clients regarding courses, services, or schedules.

Provide accurate information about programs, processes, and policies.
-
Handle complaints and escalate complex issues to the concerned department promptly.

Build positive relationships with students and clients to ensure a smooth service experience.
5. Communication & Coordination
-
Draft emails, memos, and notices in a professional and concise manner.

Coordinate meetings between management, students, and other stakeholders.

Act as the primary point of contact for students and clients at the front desk.
Required Skills & Competencies
1. Technical Skills

Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

Knowledge of data entry, database management, and reporting tools.

Familiarity with front office management software (training provided if needed).

Ability to handle printers, scanners, and other office equipment.
