Job Description
Key Responsibilities:
1. Data Entry and Computer Operation:

Enter data accurately into company software systems, databases, or spreadsheets.

Verify the accuracy of entered data and correct any discrepancies.
-
Operate office computers, printers, scanners, and other related equipment.
-
Prepare, format, and update digital documents as needed.
-
Assist in generating reports, letters, invoices, and other routine office documents.
2. Inward Filing of Documents:
-
Receive, sort, and organize incoming documents such as invoices, letters, purchase orders, and contracts.
-
Properly label and index documents for easy retrieval.
-
File physical documents systematically in designated filing cabinets or storage areas.

Ensure that all inward documents are logged and recorded as per office procedure.
3. Outward Filing and Dispatch:
-
Prepare documents for outward dispatch, including mailing, courier, or hand delivery.
-
Maintain records of outward documents, including tracking numbers and delivery confirmation where applicable.
-
Assist in maintaining logs for outgoing correspondence and ensure timely dispatch.

Support administrative staff in managing document flow and communication.
4. Record Management and Documentation:
-
Maintain both physical and electronic filing systems in an organized manner.
-
Conduct regular audits of files and assist in archiving or disposing of obsolete documents as per retention policies.

Ensure confidentiality and security of sensitive information.
5. Support Tasks:

Assist other departments with basic computer-related tasks and document handling.

Help coordinate with vendors or service providers for office equipment maintenance or supplies.

Participate in office meetings or training sessions as required.
Technical Skills:
-
Proficiency in MS Office applications: Word, Excel, Outlook

Familiarity with data entry software or ERP systems (preferred but not mandatory)

Basic knowledge of document scanning, printing, and photocopying equipment

Typing speed of at least 30–40 words per minute with good accuracy
Soft Skills:

Excellent organizational and time-management skills

Strong attention to detail and accuracy

Ability to handle confidential information with discretion

Good communication skills, both written and verbal

Ability to work independently as well as part of a team
