Job Description
Position Overview:
We are seeking a detail-oriented and proactive Construction Admin to support day-to-day operations for our civil and infrastructure projects. The ideal candidate will be responsible for handling project documentation, quantity take-offs, communication with authorities, and coordinating internal and external stakeholders involved in the construction process.
This role demands strong skills in Microsoft Excel, construction planning, and general admin functions such as follow-ups, permissions, and basic accounts support. Candidates must be comfortable reading construction drawings, understanding project scopes, and maintaining organized documentation.
Key Responsibilities:
1. Take-Offs & Quantity Estimation

Read and interpret construction drawings (architectural, structural, civil).

Prepare quantity take-offs for materials like concrete, steel, bricks, formwork, etc., from CAD or PDF plans.

Support estimation and BOQ (Bill of Quantities) preparation for tendering or execution purposes.
-
Verify contractor/client measurements and match with actual work done.
2. Documentation & Administrative Support

Maintain updated project records – approvals, work permits, agreements, and correspondence.

Draft and send emails professionally to vendors, consultants, clients, and government authorities.

Follow up on communication – send reminders, track approvals, and escalate delays to the project team.

File and archive drawings, site reports, invoices, and work orders properly (digitally and physically).
3. Permissions & Government Liaison

Prepare and submit applications for:

Excavation permits
-
Road cutting / restoration approvals
-
Utility connections (electricity, water, sewerage)
-
Environmental or geotechnical survey approvals
-

Coordinate with geotechnical engineers or local authorities to obtain test reports and approvals.

Maintain a log of submitted applications, timelines, and approval status.
4. Excel & Data Management

Prepare and update Excel spreadsheets for:

Material tracking
-
Labor attendance
-
Site expense logs
-
Billing and payment schedules
-

Generate reports for management review using Excel formulas, pivot tables, and formatting tools.

Assist in maintaining site progress trackers and monthly MIS (Management Information System) reports.
5. Coordination & Internal Support

Liaise with site engineers, storekeepers, and purchase departments to ensure smooth operations.

Coordinate between site and head office for vendor bills, approvals, or technical clarifications.

Schedule and record internal meetings, safety reviews, and client interactions as needed.
6. Basic Accounting & Billing Support

Assist with checking site petty cash vouchers, expense bills, and labor payments.

Ensure proper documentation is attached to bills before submission to accounts.

Track material delivery invoices, GRNs (Goods Received Notes), and support vendor reconciliation.
Required Skills:

Good understanding of construction drawings and site processes

Proficiency in Microsoft Excel, including formulas, data entry, and formatting

Email writing and formal communication in English

Familiarity with AutoCAD or PDF markup tools (preferred, not mandatory)

Basic knowledge of accounts, vendor bills, and payment follow-ups

Experience in submitting applications or dealing with government permissions
