Your Role and Responsibilities

As Contract Management Specialist, you are responsible for providing project office administration support on commercial engagements.

What you’ll do:

  • Complete all project related support activities in a timely manner and meets quality expectations
  • Follow defined standard methodology processes and procedures in the execution of responsibilities, and provide support for tasks not documented by the with guidance from project leadership
  • Develop necessary professional, operational, system, tool and personal management skills to function effectively in a remote services environment
  • Works with PMO lead and project teams
  • Document agreed-to responsibilities in support of assigned projects with project leadership and PMO Lead
  • Assist in defining project system, including reporting of logs for contracts and PCRs (Project Change Requests), assets, and document control administration
  • Prepare and maintain project team rooms, databases, and repositories
  • Manage project launch and start-up where possible (includes preparing material for launch, launch event with client, etc.)
  • Partner with project organization and resource planning, including maintenance of staffing plans, organizational charts, vacation calendars, and team rosters
  • Complete resource requests as directed, and administers on/off-boarding processes
  • Administer the project environment, including identifying and addressing connectivity needs
  • Collaborate with client IT services for connectivity issues, and distributes connectivity procedures
  • Maintain seating map, including notification to relevant parties of increases or decreases in needs. Executes procurement processes for HW/SW
  • Coordinate project travel and accommodation requirements, including submission of lodging cost reduction requests, when applicable
  • Administer project communications, including distribution lists, communications calendar, claim and expense policies, and cadence process for meetings. May schedule and plan team events
  • Support project planning and risk management, including producing and delivering status reports, maintaining/tracking project plans and deliverables logs, and risk/issue logs
  • Produce and publish all project reports as defined in the project management system, including client (status reports, critical metrics, travel expenses) and IBM internal reporting (7 Keys, DMT), as well as ad-hoc reporting. May assist in preparing for client presentations
  • Embrace and understand, with applicable training, the tools/applications needed to perform project administration activities. Applications and tools range from host based to web based, Lotus Notes databases to spreadsheets
  • Communicate status updates to project office partners and assume additional responsibilities as assigned

Required Professional and Technical Expertise
  • Minimum 5+ years’ experience in Contract Management domain
  • Ability to work with cross-functional team and demonstrate PMO administration, including project launch, execution, and closure activities for assigned projects
  • Proficient in timely delivery of project support activities

  • Willingness to reach across teams to accomplish defined goals and travel for client meetings
  • You love collaborative environments that use agile methodologies to encourage creative design thinking and find innovative ways to develop with cutting edge technologies

  • Up-to-date technical knowledge by attending educational workshops, reviewing publications
