Job Description
Job Summary:
The Crewing Executive is responsible for managing and coordinating all activities related to crew sourcing, documentation, compliance, and data management. This role is vital in ensuring that all seafarers are recruited, processed, and deployed in compliance with international maritime regulations, flag state requirements, and company policies. The Crewing Executive supports the crewing department in day-to-day operations and plays a key role in maintaining accurate records, verifying documentation, and liaising with various stakeholders including manning agents, flag state authorities, and internal departments.
Key Responsibilities:
1. Crew Sourcing & Manning Coordination

Source and screen qualified seafarers for various ranks and vessel types in accordance with company requirements.

Maintain a pool of active, standby, and potential candidates for current and future deployment.

Liaise with manning agents, training institutes, and recruitment platforms to fulfill crew requirements efficiently.

Assist in planning and scheduling of crew changes in coordination with the vessel schedule and port agents.
2. Documentation and Verification
-
Collect, verify, and maintain complete sets of valid documents from seafarers such as STCW certificates, medical reports, passports, CDC, COC, GMDSS, and other licenses.

Ensure all documentation is current, genuine, and meets the requirements of the vessel's flag state and IMO regulations.

Carry out internal checks to identify expired, missing, or forged documents before final approval.
3. Flag State Documentation & Endorsements

Apply for and track Flag State endorsements, licenses, and authorizations (e.g., Panama, Liberia, Marshall Islands, etc.).

Liaise with flag state authorities and authorized agents to process applications and endorsements on time.

Maintain a calendar of expiry dates for flag state documents to ensure timely renewal.
4. Seafarer Contracts and Briefings

Prepare and issue seafarer employment agreements (SEAs) as per MLC 2006 and company guidelines.

Ensure contracts are signed and retained with the necessary annexures and personal documents.

Conduct pre-departure briefings and ensure seafarers understand company policies, code of conduct, vessel operations, and contract terms.

Support the onboarding process and provide information on travel, embarkation, and shipboard procedures.
5. Data Management and Record-Keeping

Maintain an up-to-date crew database including personal details, documents, certificates, assignments, appraisals, and medical history.

Digitize and archive all crew documentation systematically for easy retrieval and compliance auditing.

Regularly update crew rotation plans, crew change logs, and historical deployment records.
6. Assisting in Crew Operations

Coordinate travel arrangements, visa processing, medical appointments, and other logistics related to crew movement.

Communicate with port agents, travel agencies, and immigration authorities to ensure smooth embarkation and disembarkation.

Handle crew-related inquiries and assist in resolving issues promptly and professionally.

Monitor seafarer feedback, grievances, and welfare-related concerns in coordination with senior crewing personnel.
7. Compliance and Policy Implementation

Ensure adherence to international regulations such as STCW, MLC 2006, ISM Code, and company Safety Management System (SMS).

Keep abreast of changing maritime legislation and inform the crewing team of relevant updates.

Implement and communicate company policies and procedures to all crew members effectively.

Assist in internal and external audits by providing necessary records and documentation.
8. Reporting and Communication

Generate weekly and monthly reports on crew movements, recruitment status, document expiries, and flag state endorsements.

Maintain accurate crew change records and submit timely updates to the operations and technical departments.

Prepare crew performance data and assist in appraisal documentation and crew development tracking.
Key Skills and Competencies:

Strong knowledge of maritime regulations, STCW, MLC, and flag state requirements.

Proficiency in MS Office (Excel, Word, Outlook); knowledge of crewing software (e.g., CrewInspector, COMPAS, Adonis) is an asset.

Excellent organizational and documentation skills.

Strong interpersonal and communication skills for dealing with multinational crew and third-party vendors.

Ability to multitask and prioritize work in a fast-paced marine operations environment.

Attention to detail, especially in document handling and verification.

Problem-solving attitude with a proactive and service-oriented mindset.
