Document Coordinator
Job Summary
A Document Coordinator is responsible for managing, organizing, tracking, and maintaining company documents and records. The role ensures that all documents are accurate, updated, properly filed, and easily accessible while maintaining confidentiality and compliance with company standards.
Key Responsibilities
Maintain and organize physical and electronic documents.
Ensure proper document version control and revision tracking.
Prepare, review, scan, upload, and distribute documents.
Coordinate with internal departments and external clients/vendors for document submission and approval.
Track pending documents and follow up for timely completion.
Maintain records of incoming and outgoing documents.
Ensure compliance with company procedures and documentation standards.
Support project teams with documentation requirements.
Generate reports and maintain document logs/registers.
Archive old documents and ensure proper retrieval when required.
Required Skills
Good knowledge of MS Office (Excel, Word, Outlook).
Strong document management and filing skills.
Good communication and coordination abilities.
Attention to detail and accuracy.
Ability to manage multiple tasks and deadlines.
Knowledge of document control systems/software is an advantage.
Qualifications
Bachelor’s degree or diploma in any discipline.
1–5 years of experience in document coordination/document control preferred.
