Job Description
Key Responsibilities
1. Customer Interaction

Serve as the first point of contact for customers via phone, email, live chat, and in-person interactions.

Address customer inquiries and provide accurate, clear, and helpful information regarding products, services, policies, and procedures.

Handle customer complaints professionally and work to resolve issues effectively and efficiently, ensuring customer satisfaction.
2. Order Processing and Support

Assist customers in placing orders, making inquiries, or tracking the status of their orders.

Process customer orders, returns, exchanges, and refunds accurately and in a timely manner.

Ensure customers receive confirmation of their orders, including delivery dates and payment receipts, where applicable.
3. Issue Resolution
-
Handle customer complaints, concerns, and inquiries promptly and effectively.

Provide solutions to customer problems, whether related to product issues, billing discrepancies, service disruptions, or other concerns.

Ensure all complaints are resolved to the customer’s satisfaction, following company policies and procedures.
4. Customer Feedback and Relationship Management

Gather and record feedback from customers about their experience with the company’s products or services.

Escalate unresolved issues to higher-level management or specialized teams when necessary.

Follow up with customers to ensure their issues have been resolved to their satisfaction and to maintain ongoing positive relationships.
5. Record Keeping and Documentation

Maintain detailed records of customer interactions, transactions, comments, and complaints in the company’s CRM system or database.

Ensure customer information is updated and accurate within the system.

Prepare regular reports regarding customer feedback, common inquiries, and service issues for management review.
6. Product Knowledge and Information Sharing

Continuously update knowledge of the company’s products, services, promotions, and policies to provide customers with accurate and relevant information.

Advise customers on product features, usage, and benefits, and recommend appropriate solutions to meet their needs.

Stay informed about company updates, new products, and industry trends to provide top-tier customer support.
7. Cross-Departmental Collaboration

Work closely with other departments (sales, finance, technical support) to resolve customer issues and ensure smooth operations.

Coordinate with logistics or warehouse teams to resolve order or delivery issues.

Collaborate with the sales team to share customer insights and help identify opportunities for improvement in customer satisfaction.
8. Adherence to Policies and Procedures

Ensure compliance with company policies, procedures, and quality standards in all customer service interactions.

Adhere to service level agreements (SLAs) for response times, issue resolution, and customer feedback follow-ups.

Maintain a professional demeanor and follow protocols for handling sensitive customer information.
