Job Description
Key Responsibilities:
1. Data Entry and Management:

Enter, update, and maintain various types of data in computer systems or databases from source documents such as application forms, invoices, reports, survey responses, and handwritten documents.

Ensure data integrity by checking for errors, inconsistencies, or missing information and correcting them as needed.

Input data using word processing tools, spreadsheets, or proprietary data systems.
-
Sort, classify, and organize files in a systematic way for easy retrieval and reference.
2. Data Verification and Accuracy:
-
Review data for deficiencies or errors, correct any incompatibilities, and ensure consistency across systems.

Perform regular audits or cross-checking of entered data to validate accuracy and completeness.

Coordinate with team members or supervisors to resolve data inconsistencies or discrepancies.
3. Documentation and Record-Keeping:
-
Maintain logs of daily tasks, completed work, and any issues encountered.

Ensure all documentation is up-to-date and follows company standards for formatting, naming conventions, and version control.

Scan, photocopy, and convert physical documents to digital format when required.
4. Administrative Support:
-
Assist departments such as HR, Finance, Inventory, or Sales in maintaining their records and reports.

Help prepare reports, summaries, and basic data analysis for internal use.

Support document filing and storage processes—both physical and digital.
5. Confidentiality and Data Security:
-
Handle sensitive and confidential data with discretion and in compliance with company data protection policies.

Adhere to information security practices when accessing or sharing documents and records.

Report any security issues or data breaches to the appropriate authority.
6. Communication and Coordination:
-
Communicate with supervisors, colleagues, or other departments to clarify information and resolve issues related to data quality.

Provide timely updates on progress, especially when handling high-volume data projects or tight deadlines.
Technical Skills:
-
Typing speed: Minimum 35–45 words per minute with high accuracy.
-
Computer proficiency: Microsoft Office Suite (especially Excel and Word), Google Workspace, or similar productivity tools.

Familiarity with data entry software, enterprise resource planning (ERP) systems, or customer relationship management (CRM) tools is a plus.

Ability to work with online forms, email correspondence, and cloud-based storage systems.
Soft Skills:

Good organizational and time management skills.

Ability to multitask and handle repetitive tasks without losing accuracy.

Basic communication skills—written and verbal.
