Job Description
Key Responsibilities:
1. Document Preparation and Management:

Create, edit, format, and proofread business documents, including reports, contracts, templates, and presentations.

Ensure documents adhere to established guidelines (style, branding, format, and structure).

Convert handwritten, scanned, or draft content into standardized digital formats.

Maintain version control and track changes for collaborative documents.
-
Prepare error-free and visually consistent documents for internal and external use.
2. Document Control and Filing:

Organize, store, and retrieve documents as per company’s document management systems (physical and digital).

Maintain comprehensive records of all finalized documents with proper labeling and indexing.

Implement and maintain standardized naming conventions and document control procedures.

Track document flow and ensure proper authorization and approvals for all content.
3. Compliance and Confidentiality:

Ensure all documentation complies with legal, regulatory, and organizational policies.

Maintain confidentiality and data security for sensitive or proprietary information.

Support audit and review processes by providing requested documentation promptly and accurately.
4. Cross-Departmental Coordination:
-
Collaborate with teams such as Legal, HR, Engineering, Sales, or Medical Records to manage document needs.

Assist staff with document-related queries, training, or troubleshooting.

Work with IT or digital transformation teams on upgrades to document management systems or archiving processes.
5. Quality Assurance:

Conduct regular checks to identify errors, outdated formats, or compliance gaps.

Provide feedback to team members to improve documentation standards.

Maintain and update document templates for accuracy and consistency.
