Job Description
Overview
We are looking for a highly organized and detail-oriented Email Support Operations Executive to manage backend operational tasks, primarily through email communication, MIS maintenance, and document coordination. The ideal candidate will have experience in handling email queries, managing reports, coordinating with RTOs, insurers, and financiers, as well as supporting day-to-day administrative and accounting functions within the automobile industry.
This role is critical for ensuring smooth after-sales operations, proper documentation, and efficient client communication.
Key Responsibilities
1. Email & Client Support

Handle email communication with customers, financiers, insurance companies, and RTO offices.

Respond to client queries related to vehicle registration, insurance transfers, and documentation.

Maintain professional communication etiquette and ensure timely responses to all incoming emails.
2. MIS & Weekly Reporting
-
Create and maintain MIS (Management Information Systems) for tracking vehicle deliveries, insurance status, RTO submissions, and financial transactions.

Prepare and submit weekly reports on operations, pending tasks, and closure status.

Monitor and update internal dashboards regularly for management review.
3. Documentation & File Maintenance

Maintain accurate and up-to-date records of:

Vehicle registration documents

Insurance transfer papers
-
Loan/financier paperwork
-
RTO files and receipts
-

Ensure all hardcopy and digital files are properly categorized and accessible for audit or customer service needs.
4. Bookkeeping & Accounting Support

Assist in basic bookkeeping tasks, such as data entry of invoices, receipts, and vouchers.

Support the accounting team in GST reconciliation, tax entries, and documentation.

Coordinate with accountants for proper filing and reporting of financial transactions.
5. Insurance & RTO Coordination

Coordinate with insurance providers to manage policy issuance, transfers, and renewals.

Follow up on RTO submissions, registration certificates, number plate issuance, and ownership transfers.

Track and resolve delays or discrepancies in RTO services with appropriate escalation.
6. Financier & Loan Process Support

Communicate with vehicle financiers or NBFCs for loan document processing, disbursement status, and NOC collection.

Maintain updated records of EMI schedules, vehicle hypothecation details, and release status.
Required Skills and Qualifications

Strong proficiency in Microsoft Excel (data entry, formulas, MIS reports).

Good communication skills, especially written email etiquette.

Familiarity with basic accounting, GST, and documentation procedures.

Ability to manage multiple client communications and follow-ups simultaneously.

Experience or knowledge in automobile dealership operations, RTO processes, and insurance is a plus.
