Job Description
This role involves supporting clients, vendors and other staff to deliver facility services.
For the right candidate we will support to start new ventures within the business.
Key Responsibilities:
1. Client and Internal Staff Support

Serve as a first point of contact for employees or clients requesting facility-related support such as repairs, cleaning, or equipment servicing.

Respond promptly to general inquiries and follow up on service requests to ensure timely resolution.

Assist with organizing internal events, meetings, or workspace setups in collaboration with facility staff.

Maintain a helpful and professional demeanor when communicating with clients and colleagues.
2. Vendor Coordination

Liaise with external service providers, contractors, and suppliers to schedule services, deliveries, and maintenance work.

Track vendor performance and report delays or issues to the Facilities or Admin Manager.

Ensure all vendor records, contracts, and contact information are updated and properly filed.

Assist in obtaining quotes, comparing services, and preparing basic purchase requisitions for manager approval.
3. Administrative and Office Support

Perform routine clerical duties including filing, photocopying, data entry, and handling correspondence.

Maintain and update databases related to facilities management, service records, inventory, and staff contact lists.

Help monitor office supply levels and initiate reorders as needed to prevent shortages.

Keep documentation accurate and up to date for facility inspections, health and safety compliance, and maintenance schedules.
4. Meeting and Facility Logistics

Assist in booking meeting rooms, setting up audio-visual equipment, and ensuring common areas are presentable.

Coordinate with cleaning and maintenance teams to ensure facilities remain functional and professional in appearance.

Support moves, additions, or changes in office layout as directed by the supervisor or project lead.

Record and follow up on facilities-related feedback from staff to support continuous improvement efforts.
5. Reporting and Documentation

Maintain records of facility service requests, issue logs, and vendor interactions.

Generate simple reports on service completion rates, vendor turnaround time, and inventory status.

Assist in preparing documentation for audits, compliance checks, and monthly team meetings.

Archive historical records in line with company policy for data retention and accessibility.
