Job Description
Job Summary:
An Event Manager is responsible for planning, coordinating, and executing events from start to finish while ensuring that each event runs smoothly, meets client or company goals, and delivers a memorable experience to attendees. This role requires excellent organizational skills, creative thinking, negotiation capabilities, and the ability to manage multiple stakeholders, vendors, and logistics within tight deadlines.
Event Managers work across industries—corporate, entertainment, hospitality, education, nonprofit, and more. They may organize a wide range of events including conferences, product launches, trade shows, weddings, exhibitions, award functions, seminars, and social gatherings.
Key Responsibilities:
1. Event Planning & Conceptualization

Understand the client’s objectives, event theme, target audience, and expected outcomes.

Conceptualize event ideas and themes that align with the client or company brand.

Develop detailed project plans including timelines, tasks, and resource allocation.

Research venues, service providers, equipment rentals, and other event resources.
2. Budgeting and Cost Management

Prepare event budgets, ensuring cost-efficiency and profitability.

Track expenses and ensure all elements of the event stay within budget.

Negotiate contracts and pricing with vendors and suppliers.

Provide financial reports and forecasts post-event for analysis.
3. Venue and Vendor Coordination

Scout and book suitable venues based on the event size, purpose, and location preferences.

Manage contracts and liaise with third-party vendors for catering, decor, audio-visual, lighting, photography, and entertainment.

Conduct site inspections and risk assessments to ensure venue suitability and safety compliance.

Coordinate logistics for vendor setup, deliveries, and teardown.
4. Marketing and Promotion

Develop promotional strategies for public or ticketed events.

Work with designers and marketing teams to create promotional materials such as banners, posters, invitations, and digital campaigns.

Manage event listings, registrations, RSVPs, and ticketing platforms.

Leverage social media and digital tools for event outreach and engagement.
5. Team Leadership and Collaboration

Lead and manage internal event teams or volunteers assigned to specific roles.

Delegate responsibilities and monitor progress to ensure all tasks are executed on time.

Collaborate with cross-functional departments including sales, design, PR, and logistics.
6. On-site Event Execution

Oversee event setup, ensure all elements are in place, and troubleshoot any issues in real-time.

Ensure guest experience is seamless—from registration and seating to catering and entertainment.

Handle emergencies or last-minute changes professionally and efficiently.

Coordinate stage management, emcees, keynote speakers, performances, and audience engagement activities.
7. Post-Event Activities

Organize and supervise event breakdown, vendor payments, and return of rented equipment.

Collect feedback from attendees, clients, and staff to evaluate event success.

Prepare post-event reports highlighting performance metrics, audience response, and improvement areas.

Maintain a database of vendors, venues, and contacts for future use.
Skills and Qualifications:

Education: Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, Public Relations, or a related field.

Experience: Minimum years of experience in event coordination or management. Experience in corporate, wedding, or MICE (Meetings, Incentives, Conferences, and Exhibitions) events is a plus.

Technical Skills:

Familiarity with event management software (e.g., Cvent, Eventbrite, Bizzabo).

Proficient in Microsoft Office, Google Workspace, and project management tools like Trello, Asana, or Monday.com.

Understanding of audio-visual equipment, stage setups, and basic design concepts.
