Job Overview
An Executive Assistant (EA) provides high-level administrative support to senior management or executives within an organization. This role involves managing schedules, coordinating communications, preparing reports, and handling confidential information. The EA ensures the smooth functioning of executive operations, allowing leaders to focus on strategic priorities.
The Executive Assistant serves as a liaison between executives, internal teams, and external stakeholders, requiring individuals who are organized, proactive, detail-oriented, and possess strong communication skills.
Key Responsibilities
1. Calendar & Schedule Management

Manage the executive’s daily, weekly, and monthly schedules.

Coordinate appointments, meetings, and travel plans efficiently.

Ensure timely reminders and avoid schedule conflicts or overlapping commitments.

Prioritize urgent tasks and help executives manage time effectively.
2. Communication & Correspondence

Serve as the first point of contact for calls, emails, and visitors.

Draft, proofread, and respond to emails, letters, and memos on behalf of executives.

Coordinate communications between executives and internal teams, clients, or external partners.

Maintain professionalism and confidentiality in all interactions.
3. Meeting Coordination & Support

Schedule, organize, and prepare for meetings, including agendas, presentations, and required materials.

Record and distribute minutes of meetings, highlighting key decisions and action items.

Follow up with relevant departments to ensure completion of assigned tasks.

Manage video conferencing, teleconferencing, and in-person meeting logistics.
4. Travel & Event Management

Plan and coordinate business travel arrangements, including flights, accommodation, local transportation, and itineraries.

Ensure all travel details are accurate and aligned with the executive’s schedule.

Organize corporate events, workshops, and seminars as required.

Liaise with vendors, venues, and service providers to ensure smooth execution of events.
5. Documentation & Reporting

Prepare and maintain reports, presentations, spreadsheets, and databases for executives.

Monitor and track project updates, deadlines, and performance metrics.

Assist in research and data collection for strategic decisions.

Ensure accurate filing, storage, and retrieval of physical and digital documents.
6. Administrative Support

Handle office correspondence, approvals, and documentation.

Manage petty cash, expense reports, and other administrative tasks.

Ensure the executive has all necessary resources and information for meetings or presentations.

Support HR, finance, or operational tasks when needed.
7. Confidentiality & Professionalism

Maintain confidentiality of sensitive information at all times.

Handle confidential reports, contracts, and communications with discretion.

Act as a trusted advisor and gatekeeper for the executive.

Exhibit professionalism in interactions with clients, employees, and stakeholders.
