Position Overview
The Executive Assistant (EA) to the Head of School provides high-level administrative and organizational support, ensuring the smooth functioning of the Head of School’s office. The EA acts as a key point of coordination between the Head of School, staff, parents, students, and external stakeholders. The role requires excellent communication, multitasking, discretion, and strong technology proficiency to streamline operations and enhance productivity.
Key Responsibilities
1. Administrative Support
- Manage the Head of School’s calendar, appointments, and meetings.
- Draft, review, and manage correspondence, reports, presentations, and official documents.
- Handle confidential and sensitive information with discretion.
- Support in preparing for board meetings, academic reviews, and school events.
2. Communication & Coordination
- Serve as the first point of contact for internal and external stakeholders.
- Coordinate with academic and non-academic departments to ensure smooth operations.
- Liaise with parents, staff, and external agencies on behalf of the Head of School.
- Assist in drafting newsletters, circulars, and official communications.
3. Technology & Data Management
- Efficiently use technology tools (Google Workspace / Microsoft Office 365 / MIS / ERP systems).
- Manage digital records, documents, and databases.
- Support the Head of School in analyzing reports, dashboards, and academic/administrative data.
- Utilize tech tools for online meetings, webinars, and digital communication platforms.
- Leverage technology to improve workflow, scheduling, and reporting efficiency.
4. Event & Project Management
- Assist in planning and executing school events, conferences, and workshops.
- Support strategic initiatives and projects driven by the Head of School.
- Track progress and provide regular updates on ongoing initiatives.
· Tech-savvy and digitally fluent.
· Strong interpersonal and stakeholder management skills.
· Attention to detail with excellent follow-through.
· Ability to prioritize and manage multiple tasks efficiently.
· Adaptability in a fast-paced school environment
