Position Overview

The Executive Assistant to the Managing Director (MD) plays a pivotal role in ensuring the smooth functioning of the Managing Director's office. This highly responsible and confidential position requires excellent organizational, administrative, and interpersonal skills. The Executive Assistant acts as the primary point of contact between the MD and internal/external stakeholders, managing schedules, communications, and administrative processes to optimize the efficiency and effectiveness of the MD.

The ideal candidate must be proactive, resourceful, and able to work under pressure in a dynamic environment. A strong ability to prioritize tasks, maintain confidentiality, and demonstrate sound judgment is essential for success in this role.

Key Responsibilities

1. Administrative Support

  • Manage and maintain the MD’s calendar, including scheduling meetings, appointments, conferences, and travel itineraries.

  • Prepare meeting agendas, take minutes, and follow up on action items to ensure timely completion.

  • Handle correspondence on behalf of the MD, including drafting emails, memos, and formal letters.

  • Organize documents and reports, ensuring the MD is well-prepared for meetings, presentations, and public engagements.

  • Maintain accurate records and filing systems (physical and digital) for confidential documents, contracts, and project files.

2. Communication Management

  • Act as the gatekeeper and point of contact between the MD and internal/external clients, business partners, staff, and stakeholders.

  • Screen and prioritize incoming emails, phone calls, and mail, responding or redirecting as necessary.

  • Facilitate effective communication between the MD and senior management, department heads, and board members.

  • Draft high-quality written materials including speeches, reports, presentations, and briefings.

3. Project Coordination and Support

  • Assist in managing special projects, initiatives, and company events led by or involving the MD.

  • Monitor progress on strategic priorities and provide regular updates and reminders to the MD.

  • Coordinate input from various departments and compile consolidated reports for MD’s review.

  • Track timelines and deliverables associated with key projects, ensuring alignment with company goals.

4. Travel and Logistics

  • Arrange complex travel itineraries, including flights, accommodations, ground transport, and visas.

  • Prepare detailed travel briefs, including schedules, contact lists, meeting agendas, and key documents.

  • Handle expense reporting, reimbursements, and other travel-related documentation.

5. Confidentiality and Discretion

  • Handle sensitive and confidential information with the utmost discretion and professionalism.

  • Ensure that confidential files and conversations remain secure and private at all times.

  • Exercise sound judgment in decision-making and when handling privileged matters on behalf of the MD.

6. Office and Team Management

  • Liaise with administrative and executive teams to support coordination across departments.

  • Assist in onboarding and support for new staff reporting to the MD or executive team.

  • Coordinate logistics for board meetings, leadership summits, and executive retreats.

  • Oversee the management of the MD’s office supplies, subscriptions, and technological needs.
