Job Description

Dear all, 
We have an urgent opening for an Executive - Purchase Department at Orient Bell Limited, Hoskote, Bengaluru District.
Requires 4-6 years of experience in the Ceramics / Cement / Process industries. 
Qualification: DME / BE (Mandatory)
Male Candidates (Preferred)
Proficiency in English, Kannada, Telugu or Tamil.

Key Responsibilities:

1. Procurement of Goods and Services:

  • Understand the organization's material and service requirements by coordinating with internal departments.

  • Source materials from reliable and approved suppliers while ensuring quality, cost-effectiveness, and timely availability.

  • Request and evaluate quotations from multiple vendors.

  • Negotiate with vendors for favorable prices, payment terms, and delivery schedules.

2. Vendor Management:

  • Identify, evaluate, and qualify new suppliers based on criteria such as quality, reliability, pricing, and compliance.

  • Maintain strong relationships with existing vendors to ensure continuous and dependable supply.

  • Conduct periodic vendor performance reviews and maintain a supplier database.

  • Resolve vendor issues including delays, disputes, or discrepancies in delivery or billing.

3. Purchase Order Processing:

  • Generate purchase orders (POs) accurately based on approved requisitions or requirements.

  • Ensure POs include complete information such as item specifications, quantities, agreed pricing, delivery timelines, and payment terms.

  • Obtain necessary approvals for purchase orders as per company policy.

  • Track POs and follow up with vendors to ensure timely delivery.

4. Inventory and Stock Coordination:

  • Work with inventory/store departments to ensure optimum stock levels.

  • Assist in planning purchases based on minimum stock levels, consumption patterns, and lead times.

  • Help prevent overstocking or understocking by monitoring inventory reports regularly.

  • Update procurement and inventory data into ERP or inventory management systems.

5. Quality and Compliance:

  • Ensure that purchased goods meet required quality standards and specifications.

  • Coordinate with the quality control or inspection teams to resolve quality issues or rejections.

  • Adhere to internal procurement procedures and documentation protocols.

  • Maintain compliance with local laws, import/export regulations, and tax/GST norms.

6. Documentation and Reporting:

  • Maintain accurate procurement records including POs, quotations, invoices, delivery notes, GRNs (Goods Receipt Notes), and warranty documents.

  • Assist in preparing procurement reports, cost analysis, and vendor evaluations.

  • Keep track of purchase expenses and assist the accounts department with payment processing.

7. Cost Control and Budgeting:

  • Assist in budget planning for procurement based on project or operational needs.

  • Explore cost-saving opportunities without compromising on quality or delivery.

  • Analyze pricing trends and market dynamics to suggest improvements in the procurement strategy.
