Job Description
An Executive Secretary - Management is a high-level administrative professional who provides essential support to senior executives, such as directors, general managers, or C-level leaders. This role involves managing schedules, handling confidential correspondence, organizing meetings, preparing reports, and ensuring the smooth functioning of executive-level operations. The Executive Secretary serves as a vital link between management and internal/external stakeholders, often representing the executive in communications and administrative matters.
Key Responsibilities

Executive Support

Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.

Act as the point of contact between the executive and internal/external clients, employees, or business partners.

Draft, review, and manage confidential documents, emails, and official correspondence on behalf of the executive.

Take and distribute accurate meeting minutes and follow up on action items.

Office and Administrative Management

Organize and coordinate office operations to ensure efficiency and effectiveness.

Handle incoming and outgoing communications, screening calls, emails, and messages for priority and relevance.

Maintain organized filing systems, both digital and physical, ensuring easy retrieval and confidentiality.

Prepare presentations, spreadsheets, and executive summaries for meetings, conferences, or board discussions.

Travel and Event Coordination

Arrange domestic and international travel including flights, hotel accommodations, transportation, and visa processing.

Plan and organize executive meetings, board meetings, off-site conferences, and corporate events.

Manage expense reports, reimbursements, and budgets related to travel or administrative functions.

Communication and Liaison

Act as a liaison between executive management and staff, facilitating smooth communication and coordination.

Communicate professionally with clients, vendors, and other external parties on behalf of the executive.

Draft internal memos, announcements, and reports as directed by management.

Maintain diplomacy and professionalism in all interactions, handling sensitive information with discretion.

Compile reports, executive summaries, and briefing materials as needed by management.

Monitor and follow up on deadlines, tasks, and projects to support executive decision-making.

Assist in preparing agendas, reports, and documentation for board and committee meetings.

Required Qualifications

Education: A bachelor’s degree in business administration, office management, or a related field is preferred. A diploma in secretarial studies or executive assistance is also acceptable.
