Job Description

Position Summary:

We are looking for a Female Back Office Assistant with good system knowledge and experience in MIS (Management Information System) tasks. The ideal candidate will be responsible for handling day-to-day administrative operations, data entry, office coordination, and taking control of the custodians (support staff). Candidates residing near Sowripalayam will be preferred for ease of commute.

The candidate must be detail-oriented, disciplined, organized, and comfortable with basic computer operations such as Excel, data management, and communication.

Key Responsibilities:

1. MIS & Reporting:

  • Maintain and update MIS reports on a daily, weekly, and monthly basis.

  • Prepare accurate reports and summaries for internal reviews.

  • Handle data compilation, analysis, and present actionable insights to management.

  • Support management in decision-making through real-time data tracking and reporting.

2. Data Entry and Record Maintenance:

  • Enter and manage data in spreadsheets and software systems with accuracy.

  • Ensure timely data updates and back-up of records.

  • Maintain both physical and digital filing systems for records, bills, vouchers, and documents.

3. Office Administration:

  • Manage and coordinate daily office operations to ensure efficiency.

  • Monitor office supplies, place orders when needed, and maintain vendor records.

  • Assist in internal communication and coordination between departments.

4. Custodian Supervision:

  • Supervise and manage the work of custodians (support/cleaning staff).

  • Assign daily responsibilities, ensure cleanliness and order within the office premises.

  • Maintain attendance and work discipline of custodial staff.

5. Communication and Coordination:

  • Handle incoming and outgoing emails, internal memos, and basic correspondence.

  • Coordinate with external vendors and service providers when necessary.

  • Support HR and Accounts teams for documentation and recordkeeping.

Required Qualifications:

  • Education: Minimum 12th Pass; a degree in any discipline is preferred.

  • Experience: Freshers with good system skills may apply.

  • Technical Skills:

    • Proficient in Microsoft Excel and basic office software (Word, Outlook).

    • Knowledge of email handling and file management.

    • Ability to learn internal systems or tools used for reporting and tracking.

Candidate Preferences:

  • Gender: Female only (as per role requirement)

  • Location: Candidates staying near Sowripalayam or nearby areas will be preferred.

  • Languages: Basic knowledge of English, with fluency in Tamil.

Soft Skills Required:

  • Good communication and interpersonal skills.

  • High attention to detail and accuracy in work.

  • Ability to multitask and prioritize responsibilities.

  • A proactive and responsible approach to office management.

  • Disciplined, punctual, and cooperative with all departments.

Work Schedule & Benefits:

  • Office Timing: 9:00 AM to 6:00 PM

  • Weekly Off: Sundays

  • Holidays: All government holidays observed
