Job Description

We are seeking a smart, organized, and reliable Female Office Admin to handle day-to-day administrative operations at our office. This role requires excellent communication and coordination skills, as well as a professional attitude toward managing clerical tasks, vendor interaction, staff coordination, and office upkeep.

The ideal candidate will be well-versed in handling front desk responsibilities, office documentation, basic accounting support, and communication with vendors and internal departments. She will act as the face of the office and ensure that the daily workflow is smooth and well-organized.

Key Responsibilities:

1. Front Office Management:

  • Greet visitors, clients, and staff courteously and professionally.

  • Answer, screen, and direct incoming phone calls or queries to the concerned department.

  • Maintain the reception area and ensure it is always clean and organized.

  • Handle incoming and outgoing correspondence including couriers, emails, and letters.

2. Administrative Support:

  • Manage and maintain office filing systems (manual and digital).

  • Maintain inventory of office supplies and stationery and place orders when required.

  • Coordinate maintenance and service calls for office equipment (printer, AC, internet, etc.).

  • Ensure smooth day-to-day operations of office infrastructure and basic facilities.

3. HR & Staff Coordination Support:

  • Assist in managing attendance, leave records, and basic HR documentation.

  • Coordinate with housekeeping, security staff, and drivers for routine tasks.

  • Schedule interviews, maintain candidate records, and assist in onboarding new hires if required.

  • Maintain employee contact lists and staff communication schedules.

4. Vendor & Facility Coordination:

  • Communicate with vendors for office supplies, service providers, and maintenance staff.

  • Handle petty cash transactions and submit regular expense reports to the accounts team.

  • Maintain AMC (Annual Maintenance Contracts) records for office services.

5. Basic Accounting & Reporting:

  • Maintain petty cash, bills, receipts, and support monthly expense reconciliations.

  • Coordinate with the accounts team to ensure timely submission of invoices and payment follow-ups.

  • Assist with basic bookkeeping or data entry in Excel or accounting software (if applicable).
