Position Overview
We are seeking a dynamic, well-organized, and articulate Female Personal Secretary to provide comprehensive administrative and personal support to the senior executive. The ideal candidate will manage business meetings, coordinate schedules, prepare and deliver professional presentations, and handle high-level client communications.
The role requires frequent travel to other cities, strong fluency in spoken and written English, and the ability to represent the organization in both corporate and social settings. We are looking for someone who is outgoing, open-minded, and possesses a pleasing and professional personality.
Candidates with backgrounds in aviation (cabin crew), management, modeling, or personal assistance will be given preference due to the interpersonal and communication skills typically developed in those fields.
Key Responsibilities
1. Executive Support:

Manage the executive's calendar, schedule meetings, and organize travel plans, accommodations, and itineraries.

Prepare agendas and take minutes for meetings as required.

Organize files, documents, and confidential correspondence efficiently and securely.

Act as the point of contact between the executive and internal/external clients.
2. Business Meeting Coordination:

Schedule, plan, and coordinate business meetings with clients, stakeholders, and partners.

Ensure all arrangements (venue, materials, presentations, etc.) are in place ahead of time.

Attend meetings alongside the executive, take notes, and follow up on key action points.
3. Presentation and Communication:

Create and deliver engaging presentations and proposals for clients and business partners.

Draft professional emails, business letters, and documents with accuracy and clarity.

Actively participate in client interactions, networking events, and corporate gatherings.
4. Client Management:

Maintain strong relationships with key clients and partners.

Assist in responding to client inquiries in a timely and professional manner.

Represent the executive in meetings when required, ensuring professionalism and diplomacy.
5. Travel and Event Support:

Travel frequently to support the executive during business trips, meetings, and events.

Manage on-the-go logistics including meeting setups, communication, and presentation materials.

Act as a travel companion and support professional engagements during out-of-town trips.
Qualifications and Requirements

Gender: Female (due to specific role requirements, travel nature, and representation needs)

Education: Bachelor’s degree or diploma in Business Administration, Hospitality, Communications, Management, or related fields preferred.

Background in aviation (air hostess/cabin crew), management, personal secretary, hospitality, or modeling is considered an asset.
