Job Description
Job Summary:
We are looking for an organized and proactive Female Personal Secretary to provide comprehensive administrative support to the executive team. As a Personal Secretary, you will be responsible for managing schedules, coordinating communication, handling correspondence, and performing a variety of clerical tasks to ensure smooth and efficient operations. The ideal candidate should possess excellent organizational skills, attention to detail, and the ability to handle sensitive information with discretion.
Key Responsibilities:

Administrative Support:

Manage the executive’s daily schedule, appointments, and meetings.

Coordinate travel arrangements, including booking flights, accommodations, and transportation.

Prepare and organize reports, presentations, and documents as required.

Maintain and update the executive’s calendar, ensuring efficient time management.

Communication Management:

Act as the primary point of contact between the executive and internal/external stakeholders.

Answer phone calls, emails, and other forms of communication on behalf of the executive.

Handle routine inquiries and provide responses or direct communication to appropriate departments.

Draft and send correspondence, including letters, emails, and memos, under the executive’s guidance.

Meeting Coordination:

Schedule and organize meetings, including preparation of meeting agendas, taking minutes, and following up on action items.

Ensure the executive is well-prepared for meetings with all necessary documents and information.

Coordinate the setup of meeting spaces, including virtual meetings, ensuring proper technical arrangements are in place.

Document & File Management:

Organize and maintain physical and electronic filing systems.

Handle confidential documents with discretion and maintain confidentiality at all times.

Ensure timely and accurate documentation of all business activities and correspondence.

Client & Vendor Coordination:

Assist in managing relationships with clients, vendors, and partners.

Coordinate communications and activities with clients as required.

Maintain contact lists and ensure regular follow-ups with important stakeholders.

Perform personal errands for the executive as required, including managing household or business-related tasks.
