Job Description

Job Summary

We are seeking a professional, courteous, and well-organized Female Receptionist to manage front desk responsibilities and support billing operations efficiently. The ideal candidate will have at least 1 year of prior experience in a receptionist or front office role and must possess working knowledge of MS Word, Tally, and billing systems. She should be confident, well-groomed, and able to handle multiple responsibilities while creating a welcoming environment for all visitors and clients.

This role is critical to the daily operations of the organization and requires someone who is punctual, reliable, and comfortable interacting with people in a polite and efficient manner.

Key Responsibilities

1. Reception Management

  • Greet visitors, clients, or patients warmly and ensure a welcoming environment.

  • Answer phone calls professionally and route them to the correct departments or personnel.

  • Handle walk-in inquiries, maintain a visitor log, and assist in appointments or meetings.

  • Maintain cleanliness and orderliness of the reception and waiting areas.

  • Display a friendly and approachable demeanor at all times.

2. Administrative Support

  • Perform basic clerical duties such as photocopying, scanning, filing, and managing emails.

  • Maintain office supplies and inventory related to front office needs.

  • Assist HR or admin teams with daily office coordination as required.

  • Receive and manage incoming and outgoing couriers or deliveries.

3. Billing and Record Keeping

  • Generate and print invoices, bills, or receipts for clients or patients.

  • Maintain billing registers and ensure accuracy in transaction entries.

  • Handle payment collections – cash, card, or digital – and issue proper receipts.

  • Reconcile daily collections with supporting documents.

  • Update billing and client information in the Tally system or custom ERP.

4. Computer & Software Usage

  • Use MS Word for basic documentation, letters, or notices.

  • Use Tally to update financial records and assist with basic entries related to front desk sales or service transactions.

  • Maintain Excel sheets for appointment logs, billing summaries, or petty cash registers.

  • Operate billing software or POS machines as per company procedures.

5. Customer Interaction & Communication

  • Respond to customer/client queries in person or over the phone in a courteous manner.

  • Schedule appointments, coordinate with staff, and provide timely information to visitors.

  • Ensure a smooth flow of visitors/clients and reduce wait times during peak hours.

  • Handle complaints or direct them to appropriate personnel for resolution.

Required Skills & Competencies

Technical Skills

  • Proficiency in MS Office Suite – particularly MS Word and Excel

  • Basic to intermediate knowledge of Tally ERP (data entry, bill generation, reports)

  • Experience with billing software or POS (point-of-sale) systems

  • Ability to operate office equipment such as printers, scanners, and phones

Soft Skills

  • Excellent verbal and written communication skills in [Local Language + English or Hindi]

  • Good interpersonal skills with a pleasant and presentable appearance

  • Ability to stay calm under pressure and multitask effectively

  • Strong sense of responsibility, confidentiality, and punctuality

  • Quick learner with good attention to detail

Qualifications

  • Minimum Education: 12th Pass or Graduate (Any stream)

  • Preferred: Diploma in Office Administration, Computer Applications, or related field

  • Must have completed a basic course in Tally and MS Office
