Job Description
We are looking for a female receptionist to join our new neurology & gynecology clinic with attached pharmacy in Mandaveli.
Location: Mandaveli, Chennai
Timing: 9:00 AM – 5:00 PM
Salary: ₹22,000 – ₹25,000/month
Requirements:
• Female candidates only
• Prior clinic/hospital receptionist experience preferred
• Fluent in Tamil & English
• Basic computer skills
• Polite, punctual & patient-friendly
Key Responsibilities:
1. Front Desk Management:

Greet and welcome visitors, clients, and employees with a friendly, professional demeanor.

Direct visitors to the appropriate departments or personnel in a courteous and efficient manner.

Ensure the reception area is neat, organized, and presentable at all times.

Manage the check-in and check-out process for visitors, including issuing visitor badges and maintaining accurate records.
2. Phone Management:
-
Answer incoming phone calls in a polite, professional, and friendly manner.

Screen and forward calls to the appropriate department or staff member.

Take and relay messages as needed, ensuring messages are delivered accurately and in a timely manner.

Manage and maintain the office phone system, ensuring there are no missed calls or voicemails.
3. Appointment Scheduling and Coordination:

Schedule and manage appointments, meetings, and conference room bookings for employees and visitors.

Maintain an up-to-date calendar of appointments and ensure the proper coordination of meeting rooms.

Confirm appointments with clients or colleagues as necessary.

Remind employees and clients of scheduled meetings and appointments.
4. Handling Inquiries and Customer Service:

Respond to general inquiries about the company, services, or products via phone, email, or in-person.

Provide information and assistance to visitors in a polite and informative manner.

Ensure a high level of customer satisfaction through prompt and helpful responses.

Redirect inquiries to the appropriate department or personnel when needed.
5. Administrative and Clerical Support:

Perform basic administrative tasks such as filing, data entry, faxing, and photocopying.

Maintain office supplies and ensure that the front desk area is well-stocked with necessary materials (e.g., brochures, pens, etc.).

Assist other departments with administrative duties as needed, including scheduling meetings, organizing events, or preparing documents.

Monitor and maintain office security by ensuring that all visitors follow proper check-in procedures.
6. Mail and Package Handling:

Receive and distribute incoming mail and packages to the appropriate staff or department.

Prepare outgoing mail, including packaging and addressing, and ensure timely dispatch through the postal service or courier.

Manage the delivery of any office supplies or materials as required.
7. Data Management:

Maintain a database of visitors, clients, and important contact information.

Ensure the confidentiality of sensitive information handled at the front desk.

Keep records of visitor logs, mail distribution, and other front-desk-related documentation.
8. Support in Office Operations:

Assist with the preparation of reports, presentations, and other documents for management and other departments.

Coordinate with other team members and departments to ensure that tasks and responsibilities are handled efficiently.

Help with organizing office events, conferences, or client visits when required.
