Job Description
Property Management Field Executive
Key Responsibilities:
1. Tenant and Property Relations:
Act as the main point of contact for tenants, addressing inquiries, complaints, and maintenance requests promptly and professionally.
Conduct regular property inspections to ensure properties are well-maintained, clean, and in compliance with all lease agreements and safety standards.
Manage the tenant move-in and move-out process, including property inspections, damage assessments, and security deposit returns.
Enforce lease terms and resolve tenant disputes, including handling late payments and, if necessary, initiating eviction proceedings in accordance with legal requirements.
2. Property Maintenance and Operations:
Coordinate and oversee all property maintenance and repair work, from routine tasks to emergency situations.
Manage a network of vendors, contractors, and suppliers, ensuring high-quality service at competitive prices.
Obtain bids, negotiate contracts, and supervise work to ensure projects are completed on time and within budget.
Ensure properties are compliant with all local, state, and federal housing laws, health and safety regulations, and building codes.
3. Financial Management:
Collect rent payments and handle late fees, tracking all financial transactions accurately.
Assist in the preparation and management of property budgets, including operating expenses and capital improvements.
Maintain meticulous financial records, including income and expenses, and provide regular financial reports to property owners and management.
Review and approve invoices from vendors and contractors.
4. Administrative and Reporting:
Draft, review, and manage lease agreements and other official documents.
Maintain accurate and up-to-date tenant files, property records, and maintenance history.
Generate regular reports for senior management on key performance indicators such as occupancy rates, rent collection, and maintenance costs.
Utilize property management software (e.g., Salesforce, MRI) and other digital tools to streamline operations and record-keeping.
Qualifications and Skills:
Experience: Proven experience in property management, real estate, or a related field.
Knowledge: Strong understanding of local real estate and landlord-tenant laws.
Communication: Excellent verbal and written communication skills to interact with diverse stakeholders.
Problem-Solving: Strong problem-solving abilities and the capacity to handle unforeseen challenges and stressful situations calmly and effectively.
Organizational: Exceptional organizational and time-management skills with the ability to manage multiple properties and deadlines simultaneously.
Customer Service: A customer-centric approach with a focus on building positive relationships and ensuring tenant satisfaction.
Financial Acumen: Basic knowledge of financial management, including budgeting and expense tracking.
Technical Skills: Proficiency in Microsoft Office Suite and experience with property management software is highly desirable.
Other Requirements: A valid driver's license and a reliable vehicle are often necessary for this field-based role. A real estate license or certification may be required depending on the location and specific company policies
