Job Description
Monitor and coordinate all day-to-day floor activities to ensure efficiency and order.
Serve as the primary liaison between management and employees on the floor.
Assist in setting up and maintaining workstations, meeting rooms, and common areas.
Ensure all equipment, supplies, and materials are in working order and replenished as needed.
Respond promptly to requests, issues, and maintenance concerns.
Coordinate with cleaning, maintenance, and security teams for optimal facility upkeep.
Support onboarding by preparing desk space and resources for new employees.
Track inventory levels of office or departmental supplies and place orders when necessary.
Ensure compliance with health and safety regulations.
Prepare reports on floor usage, issues, and general upkeep as required.
Key Responsibilities
1. Patient Admission and Discharge Coordination

Ensure that patients are received and admitted to their assigned rooms smoothly, verifying that all documentation and formalities are complete.

Coordinate with the admissions department, nursing staff, and housekeeping to prepare beds prior to patient arrival.

Facilitate discharge planning by informing doctors, billing, and patient relations departments.

Ensure timely and organized patient discharge while addressing any last-minute concerns.
2. Bed Management
-
Maintain real-time information on bed availability, occupancy, and turnover rates on the floor.

Coordinate bed allocation and transfers in collaboration with the admission desk, ICU, and emergency departments.

Ensure that beds are cleaned, sanitized, and ready for the next patient as per hospital infection control protocols.
3. Interdepartmental Coordination
-
Serve as the point of contact for resolving operational issues on the floor by liaising with various departments like nursing, housekeeping, maintenance, dietary, transport, and pharmacy.

Ensure that requests from patients or clinical staff are addressed promptly and effectively.

Escalate urgent matters or delays to the appropriate supervisors or hospital administration.
4. Patient and Attendant Support
-
Guide patients and their attendants regarding hospital processes, visiting hours, facilities, and other services.

Handle patient or family complaints or concerns in a courteous and empathetic manner and escalate unresolved issues appropriately.

Conduct regular rounds to check on patient comfort, staff responsiveness, and cleanliness of the ward.
5. Staff Supervision and Coordination

Ensure the presence of adequate support staff (ward boys, housekeeping, nursing assistants) during all shifts.

Assign duties and monitor staff performance for quality, timeliness, and patient satisfaction.

Maintain a handover log between shifts to ensure continuity of care and operations.
6. Inventory and Resource Monitoring

Monitor the availability of medical and non-medical supplies (linen, consumables, basic medical kits) on the floor.

Raise requests and coordinate with the supply or store department to replenish required stock.

Ensure equipment (wheelchairs, trolleys, monitors, etc.) is in good working condition and serviced when necessary.
7. Documentation and Reporting

Maintain daily logs of admissions, discharges, transfers, patient complaints, incidents, and service delays.

Submit daily, weekly, and monthly reports to the floor manager or hospital administration.

Support internal audits by providing necessary records and coordinating compliance activities.
