Job Description

Job Summary:

We are looking for a courteous, well-organized, and service-oriented Front Desk Executive to manage the reception and front office operations of our hospital. As the first point of contact for patients, their families, and visitors, the Front Desk Executive plays a crucial role in creating a positive and professional impression of the hospital. The ideal candidate will have strong communication skills, a calm and empathetic demeanor, and the ability to multitask in a fast-paced healthcare environment.

The role involves greeting patients, handling registration, managing appointment schedules, coordinating with various hospital departments, and ensuring a smooth patient experience from entry to exit.

Key Responsibilities:

1. Patient Reception and Interaction:

  • Greet patients, visitors, and caregivers politely and professionally as they arrive at the hospital.

  • Direct them to the appropriate departments, consultants, or service areas.

  • Answer queries regarding hospital services, facilities, visiting hours, and procedures.

  • Provide information and support in a compassionate and respectful manner.

2. Registration and Documentation:

  • Register new patients into the hospital’s information system accurately and efficiently.

  • Collect and verify required identification, insurance details, and referral documents.

  • Maintain and update patient records and files securely and confidentially.

  • Assist in updating patient contact information and demographic details.

3. Appointment Scheduling and Coordination:

  • Schedule, reschedule, and confirm patient appointments with doctors, diagnostic services, and other departments.

  • Coordinate with medical staff to confirm doctor availability and communicate any changes to patients.

  • Handle online, phone, and walk-in appointment requests professionally.

  • Maintain accurate appointment logs and follow-up systems.

4. Billing and Payment Handling:

  • Guide patients to the billing counter or, where required, assist in basic billing and payment processes.

  • Collect consultation fees or registration charges and issue receipts, if applicable.

  • Assist in explaining billing procedures to patients and direct them to appropriate personnel for clarification.

  • Monitor patient queues and reduce waiting time with efficient appointment and payment processing.

5. Telephonic and Electronic Communication:

  • Answer incoming phone calls promptly, direct calls to the appropriate departments, or take messages.

  • Respond to patient inquiries via email, SMS, or hospital software systems, when applicable.

  • Follow up on missed appointments or pending documentation.

  • Relay messages between departments and ensure smooth communication flow.

6. Coordination with Internal Departments:

  • Communicate effectively with nursing stations, laboratories, diagnostic centers, pharmacy, and administration to coordinate patient flow.

  • Inform medical teams of patient arrivals and urgent requirements.

  • Assist in emergency patient registration and inform relevant departments as needed.

7. Maintenance of Front Office Area:

  • Ensure the front desk area is clean, organized, and presentable at all times.

  • Ensure adequate availability of brochures, forms, sanitizer, and necessary stationery.

  • Report any maintenance needs or technical issues related to systems, phones, or other equipment.
