Position Overview
A Front Desk Executive in a gas agency plays a pivotal role in ensuring smooth day-to-day operations, excellent customer service, and accurate handling of accounts. This position requires a combination of interpersonal skills, administrative abilities, and basic accounting knowledge. The Front Desk Executive serves as the first point of contact for customers, addressing their queries, handling bookings, managing payments, and ensuring compliance with agency policies and safety standards.
The ideal candidate should possess strong communication skills in English, good computer proficiency, and preferably have prior experience in a gas agency or a similar role in the energy distribution sector.
Key Responsibilities
1. Customer Handling

Greet customers warmly and address their inquiries in a professional and polite manner.

Provide information about gas cylinder booking, refilling, new connections, and other services.

Assist customers in completing necessary forms and documentation.

Resolve customer complaints and escalate complex issues to the supervisor or manager when required.
2. Booking and Order Management

Manage daily gas cylinder bookings via phone, in person, or online portals.

Maintain accurate booking records in the company database or ERP system.

Coordinate with delivery staff to ensure timely dispatch of cylinders.

Track pending orders and follow up to ensure completion.
3. Accounts and Payments

Maintain records of daily transactions including cash, cheques, and digital payments.

Prepare invoices, bills, and receipts for customer transactions.

Reconcile daily collections and submit reports to the accounts department.

Monitor outstanding payments and remind customers for dues.
4. Record Keeping and Documentation

Maintain customer databases with updated contact and account details.

Keep records of stock levels for filled and empty cylinders.

File and store important documents such as KYC forms, safety declarations, and regulatory compliance certificates.
5. Coordination and Communication

Liaise with suppliers, delivery personnel, and management to ensure smooth operations.

Coordinate with technical staff for installation or maintenance requests.

Provide periodic updates to management regarding sales, customer feedback, and operational issues.
6. Safety and Compliance

Educate customers on safe usage, storage, and handling of LPG cylinders.

Ensure that all operations follow gas agency regulations and safety protocols.

Maintain awareness of emergency procedures and assist in incident management when required.
