Job Description

Job Summary:

We are looking for a well-spoken and organized Front Desk Office Executive to manage our office reception, handle visitor coordination, maintain registers, and support administrative communication. The ideal candidate will be the face of our organization and must present a professional, courteous, and positive attitude while managing front office operations.

Strong communication skills in English and Kannada (and other local languages, if possible) along with basic English writing skills are essential for this role.

Key Responsibilities:

Front Desk & Visitor Management

  • Greet visitors, clients, vendors, and staff in a friendly and professional manner.

  • Maintain the Visitor Register and issue visitor badges as required.

  • Guide visitors to appropriate departments or personnel.

Register Maintenance

  • Maintain all front office registers accurately, including:

    • Visitor log

    • Courier in/out register

    • Attendance register (if applicable)

    • Asset or stationery movement registers

  • Ensure daily updates and correct data entry.

Communication Handling

  • Handle incoming phone calls: receive, route, or take messages as needed.

  • Respond to basic queries about office location, staff, and services.

  • Make outgoing calls for coordination when required by admin or HR teams.

Email & Writing Support

  • Handle basic email correspondence (internal and external).

  • Write and format simple letters, notices, or reports in English.

  • Maintain digital copies of documents and assist in scanning/faxing/photocopying tasks.

Office Coordination & Support

  • Coordinate with housekeeping, courier personnel, security, and admin staff.

  • Keep the front office and reception area clean, well-organized, and stocked with forms, visitor passes, etc.

  • Assist in setting up appointments or meetings if requested.

Key Skills Required:

  • Communication Skills:

    • Proficient in spoken English and Kannada

    • Other local languages are a plus

  • Writing Skills:

    • Able to write basic emails, messages, and reports in English

  • Customer Service Attitude:

    • Friendly, helpful, and polite demeanor

  • Computer Skills:

    • Basic knowledge of MS Word, Excel, and email

  • Attention to Detail:

    • Accurate register keeping and careful data entry

  • Multitasking:

    • Handle multiple phone calls, walk-ins, and tasks efficiently

Eligibility Criteria:

  • Education:

    • Minimum: 10th Pass

    • Preferred: Graduate in any stream

  • Experience:

    • Freshers with good communication skills are also welcome

Work Hours & Environment:

  • Timing: 9:30 AM to 6:30 PM

  • Working Days: Monday to Saturday

  • Location: Office-based, at the company front desk/reception

  • Dress Code: Neat, formal attire or uniform (as applicable)
