Job Description

Job Summary:

We are seeking a friendly, well-organized, and efficient Front Desk Receptionist for our hospital or clinic. The ideal candidate will be the first point of contact for patients and visitors and is expected to provide a warm and professional reception experience. Key responsibilities include handling patient appointments, maintaining accurate records, managing prescription registers, and entering patient data into the system.

This role requires basic computer knowledge, good communication skills, and a polite, helpful attitude, especially when dealing with patients of all ages and backgrounds.

Key Responsibilities:

1. Front Desk Management

  • Greet all incoming patients, visitors, and vendors with a polite and welcoming attitude.

  • Manage the front desk area to ensure it is neat, clean, and organized.

  • Respond to general inquiries in person, on the phone, or via email.

2. Patient Data Entry and Registration

  • Enter new patient information into the hospital/clinic system (manual registers or computer software).

  • Update existing patient records when required (e.g., follow-up visits, contact information).

  • Ensure accuracy in capturing patient details such as name, age, contact, medical history, and referral source.

3. Appointment Scheduling

  • Manage patient appointments using appointment software, Google Calendar, or manual registers.

  • Coordinate with doctors and medical staff to adjust schedules as needed.

  • Send reminders or follow-up messages/calls for upcoming appointments.

4. Prescription Register and Record Keeping

  • Maintain a proper Prescription Register, including date, patient name, doctor’s name, and prescribed medications.

  • File and organize physical or digital copies of prescriptions for audit and reference.

  • Track issued prescriptions to avoid duplication or error.

5. Interaction and Communication

  • Politely guide patients on where to go and whom to meet (doctor’s room, lab, pharmacy, etc.).

  • Listen patiently to patients' concerns and help resolve minor queries or direct them to appropriate staff.

  • Provide basic instructions regarding consultation process, payment, or next steps after check-up.

6. Coordination and Support

  • Inform doctors of patient arrivals or changes in the schedule.

  • Liaise with nursing staff or lab technicians as needed to support smooth patient flow.

  • Assist in preparing patient slips, billing invoices, or service tokens if applicable.

7. Administrative and Computer Tasks

  • Use basic software such as MS Word, Excel, and hospital software or EMR (Electronic Medical Records) if available.

  • Maintain and update logs of daily appointments, number of patients seen, and walk-ins.

  • Monitor the stock of front desk materials (forms, slips, stationary) and request replenishments.

8. Confidentiality and Compliance

  • Maintain patient confidentiality as per clinic/hospital protocol.

  • Ensure all personal and medical data is handled with discretion and integrity.

  • Report any discrepancies in data or unauthorized access to administration immediately.

Key Skills and Competencies:

Soft Skills:

  • Politeness, patience, and empathy while dealing with patients

  • Excellent verbal communication in English and local language

  • Good listener with the ability to handle multiple tasks at once

  • Neat appearance and professional demeanor

Technical Skills:

  • Basic computer literacy: typing, using email, Google Sheets, MS Word & Excel

  • Familiarity with appointment scheduling tools or EMR software is a plus

  • Ability to maintain physical records neatly and accurately

Organizational Skills:

  • Good at record maintenance and filing

  • Attention to detail in data entry and prescription handling

  • Time management and punctuality
