Front Desk Receptionist
Job Description
Key Responsibilities:
1. Client Interaction & Front Desk Management

Greet Clients and Visitors: Provide a professional and welcoming first impression for all clients and visitors to the office.

Answer and Direct Calls: Handle incoming phone calls, take messages, or forward calls to appropriate attorneys or staff members. Ensure a clear, professional, and friendly tone when answering calls.

Appointment Scheduling: Schedule client meetings with attorneys, coordinate calendars, and ensure that all necessary information is communicated to clients in advance.

Client Assistance: Assist clients with inquiries, ensure they are checked in for meetings, and provide them with necessary documents or information before meetings with lawyers.
2. Administrative Support

Office Organization: Maintain a clean, organized front desk area, and ensure that all essential office supplies are stocked.

Document Management: Assist in organizing and managing legal documents, filing, and ensuring that important papers are stored appropriately.

Mail and Package Handling: Receive and distribute incoming mail, packages, and deliveries. Prepare outgoing mail or documents for dispatch.

Data Entry: Input client details and other relevant information into the firm's database or management system, ensuring accuracy and confidentiality.
3. Communication & Coordination

Internal Communication: Communicate any immediate needs or important information to attorneys, staff, or partners in a timely manner.

Client Communication: Send reminders for appointments, follow-up emails, or reschedule appointments when necessary. Ensure clients feel informed and supported.

Visitor Coordination: Maintain records of visitor logs and ensure visitors sign in upon arrival for security and compliance purposes.
4. Professional and Legal Compliance

Confidentiality: Maintain the confidentiality of all client and firm information in accordance with legal and ethical standards.

Compliance with Legal Protocols: Ensure that all documentation and communication with clients are compliant with the firm’s legal protocols and regulatory guidelines.

Maintain a Professional Environment: Represent the firm professionally in all client and public-facing interactions. Uphold the office's image, dress code, and standards.
5. General Office Management

Office Equipment: Operate office equipment such as fax machines, printers, and copiers. Ensure that the equipment is functional and arrange for maintenance as needed.

Meeting Room Management: Ensure that meeting rooms are prepared for client consultations, including setting up necessary materials, ensuring privacy, and maintaining a clean and comfortable environment.

Assisting with Legal Research: Occasionally assist in basic legal research, document preparation, or assisting with case files when required by attorneys.
