Job Description

Job Summary:

We are looking for a Front Office Coordinator to manage reception duties, coordinate office operations, and ensure smooth communication between departments. The ideal candidate should have excellent communication skills, organizational abilities, and a professional demeanor.

Key Responsibilities:

Reception & Customer Service

  • Greet and assist visitors, clients, and employees professionally.

  • Answer, screen, and forward incoming phone calls and emails.

  • Provide information about company services, policies, and procedures.

Office Administration & Coordination

  • Maintain appointment schedules and meeting room bookings.

  • Handle incoming and outgoing mail, couriers, and document dispatches.

  • Assist with basic clerical tasks like data entry, filing, and record-keeping.

Facility & Inventory Management

  • Ensure cleanliness and organization of the front office area.

  • Monitor and manage office supplies, stationery, and pantry items.

  • Coordinate with vendors, housekeeping, and maintenance staff as needed.

Support to Management & Staff

  • Assist HR/Admin teams with visitor logs, attendance tracking, and event coordination.

  • Handle travel bookings, accommodation, and guest arrangements.

  • Support in organizing office meetings, conferences, and training sessions.
