Position Summary:

We are looking for a dynamic and organized Front Office Executive to join our team. The ideal candidate will have at least one year of experience in front office operations, with strong communication skills, a customer-oriented mindset, and a professional demeanor. As a Front Office Executive, you will be the first point of contact for visitors and callers, managing daily administrative tasks, and ensuring the smooth functioning of the front office.

Key Responsibilities:

  • Reception & Customer Service: Greet visitors and clients with a warm and professional manner; provide information about the organization and direct them to appropriate departments or personnel.
  • Call Management: Answer incoming calls, route them to the correct department or individual, and take messages when necessary. Ensure efficient phone communication.
  • Appointment Scheduling: Coordinate and schedule meetings, appointments, and conferences for employees and visitors. Manage meeting room availability and logistics.
  • Administrative Support: Provide general administrative support, including data entry, document preparation, and office filing. Maintain an organized and clean front office area.
  • Mail and Courier Management: Handle incoming and outgoing mail, packages, and couriers in a timely and organized manner.
  • Office Supplies & Inventory Management: Monitor and maintain office supplies inventory, ensuring that stock levels are adequate and placing orders when necessary.
  • Database Management: Maintain and update client and visitor records, ensuring accuracy and confidentiality of sensitive information.
  • Coordination with Other Departments: Work closely with other departments to ensure the smooth flow of information and assist with any additional tasks as required.
  • Handling Inquiries: Respond to general inquiries and provide assistance or direct them to the appropriate person or department.

Skills and Qualifications:

  • Experience: At least 1 year of experience in a front office or administrative support role.
  • Communication: Excellent verbal and written communication skills.
  • Customer Service: Strong interpersonal skills with a customer-centric approach and the ability to handle inquiries professionally and efficiently.
  • Organization: Strong organizational and multitasking abilities, with attention to detail.
  • Technology Proficiency: Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment such as printers and copiers.
  • Problem Solving: Ability to stay calm and composed under pressure and resolve issues efficiently.
  • Time Management: Ability to prioritize tasks effectively and manage time well.

Education:

  • Bachelor’s degree in any stream preferred.
  • Additional certifications in office administration or customer service will be a plus.
