Job Description
Front Office Key Responsibilities:
Administrative support as follows:
Assist the following program areas with administration assistance when required:
HR Support as follows:
- Ensure all visitors sign in and out of the premises.
- Provide a courteous, knowledgeable and reliable liaison with members of the public by being first point of contact for face-to-face and telephone enquiries.
- Answer telephone calls and ensure they are directed to the appropriate staff members in a timely manner
- Maintain a list of absentees for each day, and maintain the sign in and out book for all staff.
- Provide a courier booking service as required.
- Complete sales and maintain records of all cash sales over the front desk.
- Send mails for staff as required and notify staff immediately of any mails received.
- Daily distribution of incoming mail if any
- Restock printers/faxes with paper every morning.
- Order new printer toners, arrange for recycling of used printer toners
- Ensure Reception is maintained in a neat and professional manner at all times.
- Provide guidance and training to relief staff to ensure Reception maintains a high level of service at all times.
- Maintain an up to date manual of all reception duties, policies and procedures.
- Update the telephone extension list and details of relevant personnel, their telephone numbers and extn numbers
Administrative support as follows:
- Typing of correspondence
- Assistance with mail-outs
- Office maintenance issues
- Updating lists/information
- Gift wrapping if req
- Other duties as requested
Assist the following program areas with administration assistance when required:
- Bequests and Memorial Giving
- Merchandise
- Donation Processing
- Information Management
- Finance
- Order and coordinate corporate stationery requirements including business cards.
- Order and coordinate all office stationery requirements for all staff on a weekly basis and ensure the stationery register is maintained.
- Taking care of House Keeping (Cleanness).
- Travel (bus, train) and hotel bookings.
- Stationery procurement & consumption monitoring.
HR Support as follows:
- Maintain Attendance records in the provided format.
- Arranging & conducting Interviews/Initial screening the candidates/ coordinatiing in recruitment processes /training programs.
- Maintaining good relationship with superiors, peers and all sub ordinates and union employees to tackle the various issues.
- Cross checking the security and workmen activities in variably (in the times of late evenings and holidays).
- Monitoring housekeeping staff, canteen facilities, toilets and washing facilities, general admin functions.
- Co-ordinate with the consultancies for the required profiles.
